Sales Account Administrator

Job Description

Job Summary/Objective:

In this position you will support your regional team members in a variety of areas by attending to the daily needs of current and new customers.   You will be a piece of the central hub that connects our customers with the appropriate RJG product and service departments for the appropriate territory.  You will have a healthy balance between sales and administrative responsibilities.

Reports to: Inside Sales Manager

Classification:  Full-time/Hourly non-exempt

Location:  Traverse City, Michigan

Essential Job Functions:

Prospecting

  • Follow up on leads and qualify opportunities
  • Focus on filling public training course seats to new and existing customers in the territory
  • Track progress and follow up with training and equipment sales within territories
Customer Support
  • Respond to territory customer inquiries

  • Identify customer needs and route to appropriate department or RJG personnel as needed

Sales Administration 

  • Track revenue and communications with transactional customers and regularly update the territory team for considerations of key accounts

  • Keep RJG’s CRM database (ZOHO) up to date and accurate 

  • Answer RFQ’s (request for quote) from the website and forward if related to a relationship customer or key account

  • Transactional customer quoting and follow up on status of open quotes 

  • Update order changes and communicate changes to appropriate RJG personnel

  • Working from a customer purchase order, enter sales orders for equipment, training, consulting and/or book purchases into RJG’s accounting software

  • Complete all administrative tasks associated with your transactional and relationship customers

  • Respond to incoming telephone calls and e-mail inquiries within 24 hours

  • Prepare formal sales quotes in our customer database

 Event Management 

  • Plans and executes public and in-plant courses based upon RJG revenue goals and customer demand

  • Responsible for all administrative paperwork related to consulting/training events on-site at customer locations such as: prepare/send pre-event questionnaires and classroom machine checklists; schedule pre-event conference calls with customers and consultants; prepare travel planning sheets for consulting supervisor; follow-up with each customer to assure all necessary information is received back in a timely manner and resolve last minute issues before consultant’s travel to the event.

  • Follow-up on all completed on-site training events to determine “next steps” with customer and assure trainee homework is completed properly and on time

  • Schedule and coordinate consultant/trainer time in company calendar

   Team Communication  

  • Facilitate communication between all internal and external stakeholders as needed related to all aspects of the sales cycle

  • Attend bi-weekly department meetings

  • Schedule, organize and attend all monthly regional team conference calls & take notes for distribution to the team and company president after each meeting 

   

Knowledge/Skills Needed/Experience

Required:

  • Proficiency in Microsoft Office programs (Word, Outlook, Excel and PowerPoint) is required
  • Excellent verbal communication skills - Must be a good listener
  • Excellent written communication skills – typing speed/accuracy/grammar/spelling/punctuation
  • Strategic and innovative
  • Must pass a background/credit check

Preferred:

  • Prior sales experience
  • Detailed knowledge of all RJG products and services is a plus (training available)
  • Experience in Sage accounting software products is helpful (MAS90, MAS200, ERP100, etc.)
  • CRM (ZOHO)knowledge is a bonus
  • Able to ask difficult questions and tactfully deliver unpleasant messages
  • Able to create agendas and lead meetings
  • Coordinate consulting and training events

Work Environment:  Office setting

Physical Demands:  Bending, sitting, walking, occasional lifting, occasional driving

Travel Expectations:  Approximately 5%.  Must have a valid driver's license and a driving record that is acceptable with our insurance company.
