Local Executive Assistant

Administration | Central Ministries | Full Time | From $60,000 to $75,000 per year

Position Summary

The Local Executive Assistant to the Lead Pastor provides high-level strategic, relational, and project leadership in support of the Lead Pastor's local ministry initiatives. This role serves as a trusted partner to the Lead Pastor, proactively anticipating needs, exercising sound judgment and discretion, managing highly sensitive and confidential information, and ensuring the effective execution of priorities, communication, and ministry operations. This role serves as a complementary role to the Global Executive Assistant to the Lead Pastor, with a primary focus on executing the efficient day-to-day operations of the Lead Pastor: assisting in office administration, ministry support, staff and congregational relationships, travel logistics and other daily responsibilities.

Essential Duties and Responsibilities

The Local Executive Assistant to the Lead Pastor is required to perform a range of duties including, but not limited to:

  • Daily management of Lead Pastor’s email inboxes and calls, prioritizing incoming communication and responding on Lead Pastor’s behalf

  • Daily maintenance of Lead Pastor’s calendar, managing travel, appointments, meetings, meals and invitations, working closely with Lead Pastor’s Spouse to coordinate with personal/family schedule

  • Anticipate the needs of the Lead Pastor by proactively identifying priorities, resolving issues, gathering necessary information, and taking appropriate action with minimal direction.

  • Weekly management of Lead Pastor’s preaching calendar at River Valley Church, assisting in the gathering of research, finding coverage for note typing and security, and covering day-of (Saturday) needs

  • Booking and managing travel logistics for Lead Pastor (flights, hotels, transportation, travel itineraries, etc.)

  • Representing and communicating professionally on behalf of Lead Pastor to River Valley Church Staff and Elders

    • Includes planning and facilitating regular meetings such as All Staff, Elder Board, Senior Leadership, Sermon Planning, Calendar Planning

  • Coordinate logistics, communication, and execution of Senior Leadership Team and Elder Board retreats and special events.

  • Exercise independent judgment in managing competing priorities, responding to requests, making recommendations, and determining when issues require the Lead Pastor's direct involvement.

  • Assist in the preparation, coordination, and distribution of sensitive or urgent organizational communications in collaboration with church leadership and communications teams.

  • Handle highly confidential, sensitive, and pastoral information with discretion, professionalism, and sound judgment while maintaining appropriate boundaries and trust.

  • Coordinate and support guest hosting logistics for visiting speakers, ministry partners, and special guests

    • Manage office and green room hospitality needs, including purchasing, stocking, and maintaining supplies, refreshments, and guest amenities.

  • Managing the financial transactions related to the Lead Pastor's ministry activities

    • Receipts & Reporting for Credit Card, submitting invoices and check requests

    • Administrate honorariums, reimbursements, and petty cash

  • Remain regularly available to the Lead Pastor for questions via cell phone, email, or text.

  • Ability to travel, as needed, with Lead Pastor and team to provide support at various conferences/speaking engagements


Qualifications

  • Demonstrated ability to exercise sound judgment, discretion, and independent decision-making in a fast-paced and highly confidential environment.

  • Exceptional organizational and project management skills, with the ability to anticipate needs, prioritize competing demands, and execute with excellence.

  • Expert-level written and verbal communication skills, including drafting correspondence and communicating on behalf of senior leadership.

  • Strong emotional intelligence and interpersonal skills, with the ability to navigate sensitive situations with professionalism, tact, and grace.

  • Ability to manage highly confidential and sensitive information while maintaining trust and appropriate boundaries.

  • Demonstrated ability to think proactively, solve problems independently, and follow through on details with minimal supervision.

  • Ability to coordinate multiple projects and deadlines simultaneously while maintaining a high level of accuracy and attention to detail.

  • Highly skilled in Google Workspace, Apple products, and modern communication and collaboration tools.

  • Flexible and responsive to changing priorities, including occasional evening, weekend, and travel-related support needs.

  • Demonstrated maturity, professionalism, and relational wisdom when interacting with church leaders, congregation members, and ministry partners.

Education

Any combination of education and training which demonstrates the ability to perform the duties and responsibilities as described will be considered. Bachelor’s degree (B.A./B.S.) from a four year college or university, preferred.


Experience

5+ years of executive assistant, executive operations, project coordination, or comparable leadership support experience preferred.
