Job Description


The seasonal Operations Associate is responsible for the details related to keeping our owned fleet of vehicles in safe operating condition, managing all rental vehicle processes and providing support and guidance to YouthWorks summer staff who are using the vehicles.



The Operations and Events Team is responsible for serving and resourcing the events and products of Real Resources as well as managing the day-to-day operations of our physical facilities (office administrative and hospitality functions, supply management, shipping/receiving, warehouse operations and building maintenance).



Real Resources - a nonprofit Christian faith-based organization that’s core purpose is to serve churches by providing Christ-centered resources and experiences for ministry.



Pre-Summer (March – May 18, 2018)

  • Oversee the planning, maintenance, and management of the YouthWorks owned vehicle fleet, including:
    • Vendor management
    • Acquisition and disposal of vehicles
    • Assignment of vehicles to YouthWorks Summer sites based on site needs
  • Maintain accurate maintenance records for all vehicles
  • Acquire/Dispose of fleet assets as necessary
  • Lead development of Vehicle Role Training for RAMP
  • Fulfill check-in/check-out requests for vehicles
  • Coordinate vehicle rental needs for YouthWorks summer program, including obtaining competitive pricing, establishing reservations and making other arrangements with rental and leasing companies
  • Work cross-departmentally to develop reporting systems for summer season related to vehicle incidents and accidents
  • Manage all financial reporting related to fleet maintenance

Summer Season (May 19 – Aug 8, 2018)

  • Attend RAMP summer staff training event in Minneapolis, Pittsburgh or Birmingham (May 19 – 26, 2018)
  • Facilitate the Vehicle Hotline – serving field staff as primary on-call operator of the Vehicle Hotline
    • Troubleshoot issues
    • Coordinate tows and mechanical work to be completed
    • Collect all pertinent information involving vehicle accidents
    • Troubleshoot/coordinate issues with rental cars between staff and rental car vendor
  • Work with parties involved in accidents to report to insurance in a timely manner
  • Attend Exit RAMP in Minneapolis, Pittsburgh or Birmingham (August 5 – 8, 2018)
  • Manage all financial reporting related to rental vehicles

Post-Summer (End of August)

  • Ensure all summer vehicle-related activity is well documented and accounts are left in good standing
    • Update owned fleet maintenance records based on vehicle condition reported at Exit RAMP – make recommendations for future acquisition/disposal
    • Close accounts with rental/leasing agencies note any anticipated charges/credits to come through
    • Wrap up financial reporting related to summer vehicle activity

  • Ability to get approved to drive Real Resources vehicles in accordance with insurance requirements

Preferred Requirements

  • College graduate or equivalent
  • Mechanical aptitude with basic knowledge of minor vehicle repair and building maintenance
  • Experience or knowledge in fleet management
  • Working knowledge of Microsoft CRM and SharePoint
  • Project management experience
  • Prior YouthWorks summer experience (staff or participant)

Physical Requirements

  • Capable of completing tasks involving repetitive motion and lifting of heavy objects (including items 25 pounds and greater)
  • Ability to sit, walk and/or stand for extended times


REPORTING:  The seasonal Operations Associate reports to the Director of Operations

TRAVEL:  Moderate travel varies, and includes out of state travel as needed to attend ministry events. They may also be required to do some out of state travel as needed to assist in vehicle transport and maintenance, and delivery of mission materials.

HOURS:  This position is temporary, seasonal non-exempt, and may require evening and weekend hours as needs necessitate (especially during travel). This position is based in Minneapolis, MN.

  • March – May 18, 2018: Pre-Summer – up to 25 hours per week
  • May 19 – August 8, 2018: Summer Season – up to 40 hours per week
  • August 9-31, 2018: Post-Summer – up to 60 hours to complete tasks

COMPENSATION:  The Operations Associate will be paid $18/hour. There are no benefits as this is a temporary, seasonal non-exempt position.
