Executive Assistant (Remote)
Would you like to join a dynamic start-up with a vibrant, dedicated, and supportive team? Pearl is looking for an Executive Assistant to work remotely from anywhere in the US. (We have been fully remote since our founding.)
Pearl is a national start-up that certifies high-performing homes: homes with efficient heating and cooling, solar, smart home devices, resilient features and much more. Pearl’s certification drives demand for these improvements by capturing their value for resale and appraisal.
Our mission is to make our global community a better place by giving homeowners the tools to improve their homes’ health, comfort, efficiency, resilience — and value. We are passionate about improving the performance of residential buildings as a way to improve people’s lives and reduce greenhouse gas emissions.
This position will support two executives, the President/Cofounder and Chief Technology Officer, and provide general operations support, with responsibilities related to finance, IT, and project management.
Maintain executive calendars, schedule meetings, prepare and distribute agendas, attend meetings and take notes when appropriate
Coordinate travel, manage executive emails and expense reports
Draft correspondence to a wide range of clients, vendors, and partners
Help with the improvement and maintenance of Pearl’s document storage system
Support finance with budget coordination and related items
Provide occasional basic internal tech support, administer software licenses
Assist with planning, implementation, and management of special projects
Under pandemic circumstances, Pearl does not require staff to travel, but when travel becomes safer, some occasional travel may be required for staff meetings.
Authorization to legally work in the US
Minimum Two-year degree
Minimum three years experience in an Executive Assistant role
Exceptional organizational skills: you have the ability to ensure that executives’ schedule are planned and organized, and that tasks large and small do not fall through the cracks
Excellent writing skills: you have the ability to draft an email to a funder or a contractor, write a concise statement about Pearl’s operations for an insurance application or a detailed summary of a meeting that captures all essential action items -- each in appropriate prose and with no need for grammatical corrections
Outstanding people skills: you are diplomatic, engaging, and yet firm in dealing with a wide range of people
Flexibility and willingness to engage in a wide range of projects
Nice to have:
Previous startup experience
Experience in any of the following fields: home contracting, solar, energy efficiency, building performance, building science
Experience using Salesforce, familiarity with Google Workspace
IT support experience, particularly in a Macintosh environment
