Summary
We are seeking a highly organized, tech-savvy Executive Assistant/Front Office Operations role to support a fast-paced, high-performing team. This role is central to maintaining smooth internal operations of our front office and performing essential Executive Assistant duties by ensuring tasks are executed efficiently and communication is clear.
Key responsibilities include managing team requests and priorities, filtering and organizing email communications, assigning tasks, and maintaining clean, accessible file systems. This person will also facilitate communication between brokers and corporate support teams to ensure the timely delivery of marketing and research materials. The ideal candidate thrives in a dynamic environment, brings strong problem-solving skills, and has a background—or strong interest—in real estate.
Essential duties and responsibilities
- Serve as the operational point of contact for the team lead and coordinate internal workflows
- Manage and prioritize high-volume email communications; flag action items and assign tasks accordingly
- Establish systems and processes to organize incoming requests and ensure timely execution
- Track team deliverables and deadlines to ensure consistent follow-through
- Streamline communication between brokers and internal corporate teams (e.g., marketing, research)
- Ensure delivery of accurate client-facing materials and internal reports
- Maintain file systems for each deal and property; organize, update, and share as needed
- Facilitate task delegation across the team and follow up on completion
- Automate repetitive administrative tasks and identify areas for process improvement
- Prepare meeting materials, presentations, and basic reports
- Monitor team calendars, set up meetings, and coordinate with external parties when needed
- Handle confidential and time-sensitive information with discretion
- Act as the go-to operations liaison for keeping the team running smoothly
- Manage front office operations
- Order supplies for office and kitchen
- Greet guests with welcoming energy
- Manage office shipments and incoming/outgoing mail
Qualifications
Required:
- This role requires regular in-office presence to support team operations, attend meetings, and facilitate communication and coordination across external support teams
- Exceptional organizational and multitasking skills
- Strong verbal and written communication abilities
- Proactive, solution-oriented mindset with strong critical thinking skills
- Comfortable working in a high-volume, deadline-driven environment
- Tech-savvy with a natural drive to create more efficient workflows
- Ability to work independently and collaborate with multiple stakeholders
- A friendly, personable, approachable, and caring personality
Education/Experience
- Commercial Real Estate industry experience is a plus
- 5+ years of administrative experience preferred
- Experience supporting teams or executives in a professional services environment
