Job Title: Delivery Project Coordinator

Reports to: Project Manager Lead

Location: Santa Monica, CA

Pacific Program Management (PPM) is looking for a Delivery Project Coordinator in Santa Monica, CA to support the Move and Launch team. You will be providing support for our move and launch PMs on their projects. This includes punch-walks, site walks, pre-post walk-throughs, managing project documents and project tracking through the closeout process. You will be meeting with vendor partners and clients to track task completion to ensure site readiness for Day1 Launch. You will also be responsible for assisting with administrative tasks, such as scheduling meetings, taking meeting notes, opening service tickets, preparing slide decks, etc. You will support teams in other cities in the region and may occasionally be required to travel.

You will be given the tools to successfully partner with the clients and team.  We will look to you for process efficiency and how to mitigate risks for any projects. Fast forward a year, what will you be doing? 

You can identify teams needs and risks. You support all of your Project Managers in some capacity at various stages of their projects.  You streamline processes and create an efficient workflow. You help facilitate program development with duties including administration and documentation.    You have received great feedback from clients. You have successfully partnered with multiple vendors.

How will you get there?

30 days: 

  • Meet and get to know the team
  • Familiarize yourself with PPM’s systems, tools and processes
  • Go over all the specifics of vendor launch meetings
  • Get familiar with where the buildings are
  • Learn and begin to embody the PPM culture and brand

60 days:  

  • Understand and dive into program documentation and processes
  • Work on project tasks
  • Engage with vendor partners and clients

120 days:

  • Confidence in your ability to understand the launch process
  • Able to facilitate project meetings with 10-15 participants (vendor partners and client)
  • Taking context and produce collateral

 What you will need:

  • 2+ years of related experience in project support and coordination
  • Excellent written and verbal communication skills
  • Ability to interface with clients effectively
  • Ability to partner with project managers, vendors and clients remotely
  • You thrive in a fast paced ever changing environment
  • You are a team player who has a can-do attitude.  
  • Ability to work independently, take initiative and be proactive
  • Proficiency in MS Office, SharePoint, or similar software programs
  • Willingness to travel occasionally
