We are looking for an organized, detail oriented, and motivated Administrative Assistant to support our Medical Affairs team by managing a wide range of administrative and executive support related tasks. This individual will report to our Head of US Medical Affairs. The successful candidate is a self-starter and will be able to work independently with little or no supervision.
This position is based in Mt. View, CA/Bay Area.
Domestic and international travel up to 20%.
Key responsibilities include, but are not limited to:
Responsible for all administrative duties in support of the Company’s Medical Affairs team and other executives.
Prepare, modify, and publish complex presentations and other communications using Word, Excel, PowerPoint and related web-based programs.
Research and book both domestic and international travel arrangements.
Prepare expense reports as needed for the executive and the team.
Procure meals as needed for meetings and events.
Coordinate all aspects of the Leaderships’ schedule, maintaining Outlook calendars and contacts lists as requested.
Prepare and organize pre-meeting and post-meeting materials and reports as needed.
Facilitate conference calls and web-based meetings ensuring communication with participants in terms of scheduling.
Promptly and efficiently answer executive phones, screening access and taking messages as appropriate.
Maintain the calendar of the team & cross-functional partners meetings and calls.
Detailed attention to varying time zones is essential, as well as coordination with personal calendars.
BS/BA is preferred
Must have 5+ years of administrative experience, with at least 3 years’ experience supporting high-level executives.
Must have advanced knowledge of Microsoft Word, Excel, Outlook, and PowerPoint.
Position requires exceptional communication skills, both written and oral, and the ability to represent the Executive in a professional and responsible manner
Must have the ability to interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high degree of professionalism and confidentiality
Must be self-directed and work to achieve objectives with little oversight
Expert in multi-tasking, organizing, and prioritizing is critical.
Strong detail-orientation and decision-making ability.
Strong computer skills, including all MS Office applications
