We are looking for an organized, detail oriented, and motivated Administrative Assistant to support our Medical Affairs team by managing a wide range of administrative and executive support related tasks. This individual will report to our Head of US Medical Affairs. The successful candidate is a self-starter and will be able to work independently with little or no supervision.

This position is based in Mt. View, CA/Bay Area.

Domestic and international travel up to 20%.

Key responsibilities include, but are not limited to:

  • Responsible for all administrative duties in support of the Company’s Medical Affairs team and other executives.

  • Prepare, modify, and publish complex presentations and other communications using Word, Excel, PowerPoint and related web-based programs. 

  • Research and book both domestic and international travel arrangements.

  • Prepare expense reports as needed for the executive and the team.

  • Procure meals as needed for meetings and events.

  • Coordinate all aspects of the Leaderships’ schedule, maintaining Outlook calendars and contacts lists as requested.

  • Prepare and organize pre-meeting and post-meeting materials and reports as needed.

  • Facilitate conference calls and web-based meetings ensuring communication with participants in terms of scheduling.

  • Promptly and efficiently answer executive phones, screening access and taking messages as appropriate.

  • Maintain the calendar of the team & cross-functional partners meetings and calls.

  • Detailed attention to varying time zones is essential, as well as coordination with personal calendars.


Ideal Experience:

  • BS/BA is preferred

  • Must have 5+ years of administrative experience, with at least 3 years’ experience supporting high-level executives.

  • Must have advanced knowledge of Microsoft Word, Excel, Outlook, and PowerPoint.  

  • Position requires exceptional communication skills, both written and oral, and the ability to represent the Executive in a professional and responsible manner

  • Must have the ability to interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high degree of professionalism and confidentiality

  • Must be self-directed and work to achieve objectives with little oversight

  • Expert in multi-tasking, organizing, and prioritizing is critical.

  • Strong detail-orientation and decision-making ability.

  • Strong computer skills, including all MS Office applications
