About This Role
We’re seeking a Senior Payroll Specialist who will be responsible for payroll administration and helping to develop and strengthen internal controls and processes related to payroll. This individual is responsible for all tasks necessary to accomplish the organization’s multi-state payroll processing objectives with a high degree of confidentiality and will manage time entry, tax deposits, reports, benefit deductions, W2s and audit document requests. The individual will work within our Accounting team and serve as a point person for both payroll operations and payroll accounting. This individual will also manage the auditing of all employee expense reports for compliance with the Company's Travel and Expense Reporting Policy. This individual will collaborate with various business units and vendor contacts. The ideal candidate is detail-oriented with significant knowledge of payroll administration, including state and federal regulations and equity transactions.
This role reports to the Senior Manager, Accounting.
This is a hybrid position based out of our Emeryville headquarters with a minimum of 1-2 days in the office per week. This is a full-time position, and the office hours are within 8am-5pm PT.
What You’ll Do
- Process bi-weekly, multi-state payroll using Paylocity platform for salary and hourly, full time and part time employees, as well as off-cycle pay-runs, including all equity-related transactions, including stock options, RSUs and ESPP.
- Maintain payroll policies and procedures and ensure compliance with internal controls and SOX documentation.
- Ensure accurate and timely processing of payroll updates including new hires, terminations, LOAs, wage garnishments, benefit changes, salary increases, relocation and bonuses. Review and validate payroll results prior to final processing of payroll.
- Prepare payroll-related monthly accounting journal entries and account reconciliations for payroll and stock administration activities (Payroll Clearing, Vacation and Bonus Accrual, Employee Receivable, ESPP Withholding, etc.) and ensure timely resolution of reconciling items.
- Audit expense reports and manage expense reimbursement process in Concur.
- Assist with financial statement audit for payroll-related requests. Assist with year-end benefits audit and reporting. Support SOX efforts, auditor document requests, workers compensation, tax filings, and related documentation through gathering support and/or preparation of analysis.
- Manage new state registrations for withholding tax, SUI, and any applicable local taxes; ensure compliance with federal, state, and local payroll, wage and hour laws and best practices.
- Monitor the Payroll inbox and serve as the main contact for all payroll-related matters, providing timely responses to all internal and external requests.
- Partner effectively with both internal and external business partners to address, resolve and communicate payroll/accounting related issues and inquiries.
- Perform other duties as required.
What You Bring
- BA/BS in Accounting, Finance or another relevant field and 5+ years of experience.
- Extensive knowledge of the payroll function including preparation, balancing, internal control, payroll taxes, and equity transactions.
- Detailed knowledge of federal and multi-state payroll reporting requirements with an emphasis on California state regulations.
- Advanced MS Office Skills (Excel, Word, and Outlook) including VLOOKUP and pivot tables.
- Familiar with SOX 404 internal control procedures related to payroll and employee compensation functions.
- Knowledge of general financial accounting.
- Understanding of, and the ability to adhere to, generally accepted accounting principles.
- Strong verbal and written communication and customer service skills.
- Positive team attitude with a willingness to work on both smaller and large tasks to help get the job done.

The base compensation range for this position is $101,000 - $117,000 per year. The range provided is an estimate. Actual compensation may vary based on skills, experience, education, location, and other factors permitted by law.
