Job Description

The Office Administrator will manage a wide range of administrative, executive and office support-related duties onsite at our Emeryville Headquarters. This role will represent OmniAb’s culture and values as a first point of contact. The Office Administrator will oversee administrative and executive services such as travel and events, vendor management, office equipment, mail/messenger services, as well as support special projects. The ideal individual will have strong written and verbal communication, great organizational skills, calendar management experience, and the ability to juggle multiple projects.

Responsibilities:

  • Provide support to the Executive Team with heavy calendaring, meeting prioritization and coordination

  • Manage Executive corporate travel booking and schedules 

  • Setup and support in-person and virtual meetings across multiple time zones

  • Modify and publish presentations and other communications using Word, Excel, PowerPoint, and related web-based programs

  • Drive and coordinate company social events and interaction, including chairing the Social Committee

  • Reception duties include; answer the phone in a timely manner and provide general support to visitors and guests

  • Manage ordering of all office supplies 

  • Assist with Human Resources duties, as needed 

  • Receive and sort mail and deliveries and manage third party shipping vendors 

  • Communicate with the building management on maintenance items 

  • Other duties as assigned 

Requirements: 

  • High school diploma required; relevant college degree is preferred

  • 5+ years of administrative, operations and/or facilities management experience

  • Prior experience at a rapidly growing Biotech or Life Sciences company preferred

  • Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, and web-conferencing programs (Teams, Zoom, etc.)

  • Detail oriented, with the ability to coordinate last-minute changes 

  • Proven success building and maintaining relationships of trust, respect, and support

  • Ability to interact with staff at all levels in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful, and efficient, with a high degree of professionalism

  • Experienced in effectively interfacing with high level executives 

  • Ability to maintain confidentiality 

  • Positive, upbeat personality and team player with excellent verbal and written communication skills

  • Self-directed and proactive, with the ability to organize and prioritize across competing priorities to ensure deliverables are met on time with little oversight

Base Pay Range:  $80,000 - $110,000/year

 The pay range provided is an estimated base range for this role. Exact compensation may vary based on skills, experience, education, and location.
