Senior Project Manager

Summary

The Senior Project Manager is responsible for owning the internal process for all ongoing projects on assigned account(s). (S)he is the conduit through which all workflows; (s)he is informed, detail oriented, leading the process, driving the timeline, bringing the right team together and setting the stage for project efficiency.

 

Essential Functions

 

Ownership of timing and deliverables for live projects

  • Create project timelines, monitor progression and track towards milestones

  • Maintain daily/weekly hot sheets, manage day-to-day action items and priorities across the team, and run core team status per account

  • Set up all briefs, reviews and meetings with the internal team, and record and distribute clear deliverables, direction and next steps

  • Assist account leads in compiling and organizing all project documents on the server

  • Ensure all necessary reviews/approvals by lead/exec team(s) allowing time to impact the work

  • Actively monitor issues and new developments, keeping the team informed to the minute

Management of internal resources & Senior Management liaison

  • Work closely with Team Leads to aid in optimal management of working teams

  • Manage timesheet process within Harvest, and pull hours to input into utilization tracking sheets

  • Standing weekly resource meeting with department leads to review resources into the following week

  • Send resource recaps to Senior Management weekly

  • Lead conversations with Senior Management re: workflow, process, resource and project issues

  • Strategically prepare for growth opportunities and upcoming briefs across the entire calendar year.

Maintain holistic agency view, facilitate communication and optimize workflow

  • Understand shifting priorities across the entire agency and work with fellow PM’s and Team Leads to resolve

  • Have foresight to upcoming issue and raise the risk flag in advance to work towards a resolve at a moment’s notice

  • Maintain real-time status and internal communications (via email, chat and in person conversations)

  • Participate as requested or required in business development efforts

Internal agency development

  • Provide a model of project/team leadership: accuracy, detail oriented, timely deliverables, being friendly, easy to work with and approachable

  • Streamline and templatize internal working documents, pinpoint opportunities for process evolution, and recommend additional tools as needed

  • Motivate team to collaborate effectively, looking out for the best interest of the work and the business

  • Contribute to a working environment that encourages and supports a positive mindset about the work as well as the clients and staff that is involved


 

Requirements

  • Possess strong knowledge of workflow across digital and media

  • Demonstrate clear thinking under pressure, managing challenging deadlines/situations with confidence

  • Possess and encourage high degrees of initiative, drive, energy, accountability and creativity

  • Exercise excellent time management, organization and prioritization skills, ability to handle multiple tasks while

  • Possess and deliver strong written and verbal communication skills, demonstrating the ability to present thoughts clearly, accurately, and succinctly

  • Build and maintain strong interpersonal / professional relationships with employees, vendors, clients, etc.

  • Strong analytical skills

  • Be assertive and informative and to drive projects forward

  • Exercise the ability to quickly and effectively adapt to change

  • 6+ Years as a Project Manager in an agency and/or media company

  • Bachelor’s degree in Media/Marketing, Advertising or Business preferred

  • Digitally savvy; MUST be proficient in Google and Microsoft Office suite (Mac preferred), Keynote, Harvest, Slack, Smartsheet
