Summary of Position:
As a Visual Merchandising Coordinator, you will play a crucial role in executing visually compelling VM solutions that enhance the customer experience and drive brand consistency across our market. You will manage the operational execution of seasonal updates; ensure all store installations align with brand standards always providing retail excellence.
You will be primarily focused on the implementation of high quality VM elements into stores for campaign launches - on time and to budget. You will be working across a wide range of VM formats and elements so we're looking for someone who can manage complexity and pace, with strong communication and organisational skills are essential for success for this position.
We are recruiting for 2 positions based out of the UK Head Office working in a hybrid office environment.
Principle Accountabilities:
Project Management:
· Oversee and manage project timelines/CPA’s, identifying and prioritizing key milestones and deadlines.
· Proactively identify potential risks and implement strategies to mitigate delays.
· Maintain up-to-date project trackers to monitor progress and communicate status.
· Facilitate collaboration and communication with cross-functional teams to ensure timely and cost-effective project delivery.
- Update file databases as needed for seasonal updates: Planograms, store door distribution files, instruction sheets etc.
- Manage and track seasonal update snags / questions from field teams
- Collate and audit seasonal update installation photos and communicate feedback to regional teams / vendors
- Manage end to end process of repair and maintenance from initial request through to production and delivery to store
- Manage Nonsellable Orders - Testers / factices required for maintenance parts.
- Manage all VM store requests. i.e. ensure all missing/damaged collateral is replaced as required to ensure compliance to VM guidelines.
- Responsible for managing and updating store databases & VM fixture trackers.
- Assist in supporting all New Door Openings.
Visual Merchandising Updates:
- Send instruction sheets + PODS to regional teams and retailers.
- Support with the creation of planograms, briefing to the design team and attending ranging meetings where necessary, working closely with national accounts team.
- Ownership of VM guidelines for both permanent & new launch VM, creating instruction packs where necessary and distributing to the field teams. Ensure all communication that is sent is concise and on time.
- Support with financial and budget tracking as set by Asst. VM Manager for opex VM (new door costs, replenishment of counter collateral, lightbox roll outs etc)
- Monitoring stock levels of all VM items and identifying when to re-order stocks accordingly.
- Building strong relationships with external suppliers, assisting with supplier briefings, sampling and tender processes for campaign rollouts and projects.
- Oversee the development of any local units and POS, reviewing and approving technical drawings alongside the assistant vm manager.
- Manage Pricing updates.
- Monitor competitor activity & undertake regular store visits to ensure brand consistency - Engage/educate store teams on the importance of VM and feedback to key stakeholders.
- Co-ordinate production and delivery of all customer facing store POS for all trading activity in conjunction with the marketing calendar.
- Manage Lighbox and screen updates in line with the VM and Marketing calendar.
- General administrative support for the team, raising purchase orders, managing deliveries and department organisation

Fiscal Accountabilities:
· Responsible for the of opex items into VM Budget Tracker
Key Working Relationships:
· Work within the EMEA VM team.
· Work closely with the US VM team
· Work closely with the EMEA Wholesale Channel teams, to ensure that the execution of all FORMA brands are on budget, on time and on brand.
Required Skills & Experience:
· Experience in head office visual merchandising in beauty industry
· Passionate about product, the brand and retail
· Strong time management, project management, attention to detail, and organisational skills.
· Comfortable working within a small, high functioning team
· Creative eye & passion for communication
· Flexible approach to work, ability to support changing needs and demands
· Basic skills in Adobe Photoshop and Illustrator
· A working knowledge of Microsoft Office, particularly MS Excel. Knowledge of SketchUp advantageous
Travel Requirements:
