What will I be doing?
As a Practice Support Specialist, you will support multiple Financial Professionals and their businesses. You will provide an elite level of service for all lines of business to the advisors and their clients. A passion for serving others, establishing rapport, and building relationships with internal partners and external clients is pivotal to success in this role.
ROLES AND RESPONSIBILITIES
Serve as the primary front desk contact, greeting clients and managing reception operations with professionalism and a welcoming presence.
Coordinate scheduling and manage calendars for advisors and team members to ensure smooth daily workflow.
Answer and direct phone calls in a polished, service‑focused manner, representing the firm professionally at all times.
Perform general administrative tasks, including photocopying, scanning, faxing, filing, and organizing both digital and physical documents.
Take full ownership of the insurance and investment processing workflow, ensuring applications, documentation, and requirements are completed accurately and on schedule.
Act as a liaison between advisors and providers, following up on outstanding items, resolving issues, and accelerating the fulfillment of cases.
Complete accurate data entry to maintain up‑to‑date client records, databases, and internal systems.
Support internal team projects and administrative initiatives, contributing ideas to improve office efficiency and client service.
Demonstrate initiative and accountability, with an opportunity to progressively take on more advanced administrative, operations, or support responsibilities.
Follow a clear growth path, starting in front desk administration and expanding into higher‑level roles such as Operations Support, Senior Administrator, or other internal career tracks based on performance, motivation, and capability.
What are the requirements and qualifications?
· To qualify, you must be a US Citizen or permanent resident.
· High school diploma or equivalent; additional certification in office administration is a plus.
· Detail oriented, proactive & exceptionally organized.
· Friendly, reliable & professional.
· Knowledge of one or more financial products (Mutual Funds, Investments, Annuity, Life) and supporting systems preferred
· One or more years of customer service experience; or clerical administrative role
· Excellent organizational skills with the ability to prioritize tasks and meet deadlines.
· Ability to effectively communicate both verbally and in writing
· Ability to maintain confidentiality and handle sensitive information with discretion.
· Tech savy and comfortable learning new systems and tools.
