Position Overview

We are seeking a motivated, detail-oriented individual to join our team and help us continue to grow in the future. This individual will play a key role in supporting our advisors, ensuring seamless client service, and maintaining efficient office operations. This role is ideal for someone who enjoys organization, client interaction, and problem-solving, and who is eager to learn the inner workings of a financial services firm. The position demands a self-motivated and independent worker. While there is ample opportunity to receive support and/or interact with clients and others, the ideal candidate will be comfortable working independently, potentially remotely, for extended periods.

With structured mentorship, the right candidate will have the opportunity to take on increasing responsibility and grow into senior leadership within the firm’s operations team. For the ideal candidate, this role may evolve into a long-term succession path for our current Director of Operations, who is expected to retire in a few years.

Key Responsibilities

  • Deliver high-quality client service, serving as the primary point of contact for client inquiries.
  • Prepare, update, and distribute client reports, presentations, and account documentation.
  • Maintain and improve office procedures, including CRM database management, cloud storage organization, and process documentation.
  • Partner closely with the Director of Operations to learn firm systems, compliance processes, and management practices.
  • Conduct research projects to support advisors and improve business processes.
  • Manage light technology support, including troubleshooting software issues, coordinating with vendors, and ensuring smooth office operations.
  • Assist in planning and coordinating client meetings, events, and communications.
  • Support compliance and record-keeping processes in accordance with industry standards.
  • Identify and recommend workflow improvements to enhance efficiency and scalability.


Qualifications

  • Bachelor’s degree preferred, or equivalent professional experience.

  • Prior experience in financial services or administrative/operations roles strongly valued.
  • Strong organizational and project management skills with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); comfort with CRM systems and cloud-based tools.
  • Demonstrated aptitude for learning new systems and processes quickly.
  • Ability to handle confidential information with discretion.
  • Self-motivated, resourceful, and eager to grow within the firm.
  • Interest in leadership development and willingness to be mentored for long-term growth.
