Responsibilities:
The Operations Specialist will be an important member of the Make-A-Wish Foundation of Central and Western NC Finance and Operations Team. The Operations Specialist will provide support to the Foundation as the first impression with our constituents - donors, volunteers and wish families when they visit our office. This role will be responsible for assisting with office operations and procedures including vendor relations. The Operations Specialist will work with the Director of HR and Operations to assist with administrative tasks. This role will require a friendly customer service demeanor as well as excellent verbal/written communication skills and very detailed oriented for administrative tasks.
- Maintains a professional presence and rapport at all times in interactions by phone or in person with volunteers, donors, board members, wish families, staff, and the community at large.
- Monitors door access and greets visitors at "The Wishing Place" (Make-A-Wish Charlotte office).
- Promotes a professional environment by ensuring that "The Wishing Place" maintains a clean and presentable atmosphere for incoming guests, ensuring that the front office, kitchen, and the wish room areas are void of items such as debris, dishes, empty boxes, etc.
- Answers all incoming calls and make transfers as necessary.
- Manages regular ordering of postage, printer, office, and kitchen supplies.
- Receives and distributes incoming FedEx/UPS packages or other special mail.
- Processes mail and makes bank deposit bi-weekly.
- Completes semiannual refundable sales tax returns.
- Assists Director of HR and Operations with AP functions.
- Prepares for and runs slides at monthly staff meetings.
- Manages office and wish In-Kind by preparing, reviewing and submitting.
- Processes and submits Program PNC expense reports.
- Assists AR with stewardship.
- Supports Director of HR and Operations with IT needs including wiping computers, staff computer needs and questions, and managing event technology sign-out.
- Performs other duties as assigned.
Requirements:
- High School Diploma or GED minimum, Associates/Bachelor’s degree preferred.
- Exemplary customer service skills, positive attitude, poise, and caring professional.
- Excellent organizational skills and attention to detail, as well as the ability to manage time and adhere to deadlines.
- Knowledge of Microsoft Office programs and general office equipment.
- A high level of sensitivity when dealing with staff, donors, board members, volunteers, and wish families.
- Must be adaptable, self-motivated and able to work with minimal supervision in a fast-paced environment.
- Valid driver's license and access to consistent, reliable transportation.
Physical Requirements:
- Ability to type on computer keyboard and use computer mouse.
- Occasional stooping, bending, lifting, carrying and/or placing of boxes of documents or other materials weighing less than 25 lbs.
- Stand, move, and/or walk between offices, departments and during fundraising or events, sometimes on uneven ground.
