INTAKE REPRESENTATIVE

We are seeking two dedicated Intake Representatives to manage incoming emails, faxes, and voicemail communications. This role is essential to ensuring timely and accurate processing of incoming information and supporting smooth daily operations. Each representative will work 35 hours per week, covering alternating shifts to provide consistent coverage 6 days a week, including weekends and designated holidays.

Schedule

Monday – Friday Coverage (Two Shifts Based on EST):

  • Shift #1: 8:00 AM – 2:00 PM

  • Shift #2: 1:00 PM – 7:00 PM

Weekend Coverage:

  • Saturday & Sunday: 9:00 AM – 2:00 PM

Holiday Coverage:

  • Follows the same schedule structure above.

Key Responsibilities

  • Monitor and process all incoming emails, faxes, and voicemails promptly and accurately

  • Organize, document, and route incoming information to the appropriate departments or team members

  • Maintain detailed, clear records of all communications

  • Communicate professionally with internal teams and external partners

  • Help ensure all intake tasks are completed within required timelines

  • Support the workflow of the intake department with attention to detail and efficiency

  • Maintain confidentiality and follow organizational policies and procedures

Qualifications

  • Experience in administrative support, customer service, or intake roles preferred

  • Strong organizational and time-management skills

  • Excellent written and verbal communication abilities

  • Comfortable working with digital inboxes, fax systems, and voicemail platforms

  • Ability to multitask and maintain accuracy in a fast-paced environment

  • Reliable, punctual, and consistent with schedule commitments

  • Familiarity with healthcare, social services, or case-management environments is a plus
