With over 80 years of combined experience, Lighthouse serves as a beacon of hope to our neighbors who need it most by offering assistance with emergency basic needs alongside housing programs and supportive services designed to support long-term economic stability. Lighthouse owns and operates Spero Housing Group, a subsidiary non-profit dedicated specifically to developing and operating high-quality, affordable, and supportive housing for persons of low and moderate-income, as well as HandUp, a community and crowdfunding platform serving 100+ homeless service agencies and their clients across the United States.

Position Summary:

Lighthouse is looking for an energetic and dedicated individual who can cohesively work with the leadership team to manage the internal business operations and structures that will support the mission and vision of the organization. As the day-to-day business administrative lead, you would report directly to the Chief Operating Officer. The manager will work cross-departmentally to ensure a cohesive approach to supporting Lighthouse's business and programmatic administrative operations including overseeing the agency’s annual insurance reviews and renewals, telecom systems, fleet management, internal communications, and new employee onboarding support.


Key Responsibilities:

  • Partner with HR and work cross departmentally to establish a robust and comprehensive employee onboarding and orientation process. Manage process.

  • Develop and oversee the process for employees to gain access to needed technology and relevant training. This includes computer dissemination, access to agency’s servers, phone and extension assignments, integration into the dial plan, phone (GoToConnect) training, securing ID badges and keys.

  • Manage the processing of mail at all Lighthouse locations.

  • Manage Lighthouse’s IT needs including working with relevant vendors and providing staff with general tech support.

  • Oversee Lighthouse’s office supply and equipment purchasing, maintenance, and inventory across locations.

  • Lead annual insurance renewals and assist with relevant administrative functions. Register company vehicles annually.

  • Manage relevant business operations vendor relations including collecting W-9s, processing invoices, turning services on or off, collecting contracts to be reviewed with supervisor, master record keeping, and fielding general questions.

  • Secure and maintain needed business operation licenses and the State and Local level including Certificate of Good Standings and Charitable Solicitation Registration,

  • Under the direction of the Executive Team, manage compliance with risk mitigation policies and procedures including mandatory staff trainings, tracking agency vehicle GPS activity and pulling reports, and other risk mitigation initiatives.

  • Implement, monitor, and enforce standard eFiling system across the agency including file naming protocol.

  • Oversee phone system including working with relevant vendors to make needed updates to the phone tree and dial plan, reviewing assigned extensions, and

  • Maintain a repository of technology assignments and conduct regular technology audits related to: computer assignments, phone extensions, email addresses, hot spots, headsets, etc.

  • Work cross departmentally to assist with business operations related to specific programs or facilities.

  • Oversee safety planning across sites including running and tracking regular drills at our administrative offices and confirming and documenting programmatic drills.

  • Participate in relevant internal and external task-forces, committees, and meetings.


Minimum Qualifications

  • Bachelor’s degree from a 4-year accredited college or university in a related field or four years of relevant professional experience.
  • 2+ years’ experience in program or project management and/or emergency food systems.
  • Knowledge and understanding of the key elements of the emergency food system
  • Proficient with Microsoft Office Suite and Google Apps
  • Strong organizational and communication skills
  • Strong conflict resolution skills
  • An appetite for innovation and creative problem-solving
  • Ability to work occasional evenings and weekends
  • Reliable transportation


Preferred Qualifications

  • Lived experience with homelessness or food insecurity
  • Master’s degree from a 4-year accredited college or university in a related field.
  • 6+ years’ experience in a role directly or indirectly related to human/social services and/or project management.
  • Knowledge of the social services landscape in Oakland County and surrounding areas
  • Experience with Link2Feed
  • Proven ability to work effectively with racially and ethnically diverse clients and teams
  • Ability to build consensus and resolve conflict; willingness to have difficult conversations.
  • Exceptional communication ability, both written and oral.
  • Ability to listen and accept feedback constructively.
  • Possess high emotional intelligence skills.
