LCPS is seeking a Temporary Operations Manager for our family of schools to oversee our operations teams and all aspects of facilities and operations management at both our school sites while our Director of Operations is out on maternity leave including overlap time before and after she goes out and returns (6 months from February 15-August 15, 2020; some flexibility if needed to accommodate availability). The realization of our mission to prepare students for college and career can only be actualized when our school's operations systems run like a well-oiled machine.  The Temporary Operations Manager primary skill set includes the ability to organize systems and the teams that serve as the “backbone” to the school and organization.  This includes oversight of site-based operations, food service, and technology staff and teams; LCPS’ facilities oversight and maintenance; and oversight of enrollment processes.

Operations & Technology Teams’ Supervision & Management:

  • Directly supervise a high-performing operations team including, but not limited to, site-based Operations Associates, food service staff, family recruitment specialist, and the Technology Team to ensure seamless, efficient and high quality school operations across our schools and organization.

  • Provide meaningful oversight, feedback, coaching and support of all direct reports through regular weekly or bi-weekly check-ins

  • Hold weekly team meetings for Operations and Technology Teams to ensure teams are working together to manage site-based responsibilities.

LCPS Facilities Maintenance & Oversight:

  • Day to Day Operations: 

    • Oversee day to day facilities maintenance and improvements at LCPS’ sites in conjunction with site-based Operations Associates, including oversight of tickets system, regular walk throughs, and emergent and deferred maintenance plans and procurements as needed.

    • Communicate with landlords and outside facilities’ related vendor management.

    • Ensure traffic mitigations are implemented at Lodestar for compliance and smooth daily operations. 

  • Summer Cleaning & Projects: 

    • Oversee and supervise site Operations Associates to support end of year and summer cleaning functions in preparation for the 2020-21 school year. Including: classroom check outs, summer cleaning timeline, space allocations, facilities walk throughs, site inspections for compliance, etc.

    • Oversee Technology teams and lead to project manage summer technology updates, projects, and procurements are completed to deadline for start of school.

    • Manage procurements for large-scale facilities’ purchases and oversee Operations Associates and Tech Teams to ensure new furniture and technology orders for 20-21 school year are placed, have arrived and are set-up for any shift in space use/needs across sites.

  • Lodestar High School Facility Opening:

    • Project manage HS construction and traffic mitigation efforts at Lodestar by being the liaison between PCSD (our contracted project management entity) and LCPS, including communications to relevant staff and troubleshooting with Lodestar Operations Associate.

    • Oversee and supervise site Operations Associate at Lodestar to ensure a successful opening to the new Lodestar High School building for August 2020, including: cleaning schedule and space allocations for building, hiring of another custodian and technology team member, furniture and technology procurement, implementation of drop-off and pick up plans and project management of playground construction, etc. 

Operations Program Management & Oversight:

  • Enrollment & Registration: 

    • Oversee and supervise site Family Recruiter Specialist via weekly check-ins to ensure communicate enrollment numbers and share data leading up to Day 1 between site principals, Student Data Analyst, and site staff supporting enrollment and closely monitor students who does and does not show up for registration.

    • Ensure we are on track to hit our enrollment and registration targets for Day 1.

    • Project manage and oversee our student registration process for new and returning students including interfacing with and holding accountable all staff and stakeholders at both sites responsible for successful registration of our schools. 

  • Food Service/NSLP Oversight:

    • Liaise w/food vendor, Finance Team, and food service lead staff to complete all required reporting and compliance tasks, ensure 20-21 contract is signed, and process any NSLP claims.

    • Point person and responsible for summer seamless program participation for school site(s). Includes: necessary training, communication of dates and number of student participation and mandatory paperwork for program. 

  • Compliance Reporting: 

    • Ensures NSLP, attendance, and Calpads reporting is done and submitted by deadlines.  Works with other shared service teammates to submit on time. 

  • Summer Programs:

    • Support ops associate in calendaring and reviewing programmatic needs for summer programs happening onsite. 

    • Ensure communication to stakeholders to provide transparency and needs necessary for programs occurring on campus during the summer. 

  • Emergency Preparedness:

    • Support Ops Associate in updating maps, emergency team rosters, start of year team meeting, supplies, and sweeps with updated staffing as applicable for the new school year. 

    • Ensure distribution of materials, SLACK set-up and training is completed to all members for the emergency team. 

  • New Staff and Families Onboarding 20-21:

    • Support in sessions alongside with Ops Associate and Technology team to share necessary information for new staff joining the LCPS community during new staff onboarding week. 

    • Update powerpoints, manuals, how-to’s and other communication for new community stakeholders to guide a smooth transition for staff. 

    • Support logistics and presentation of material for new family orientation sessions in collaboration with site principals and staff. 

  • Additional Responsibilities, as assigned

Minimum Qualifications:

  • B.A. or B.S., required

  • 5+ years working in operations management (including at least 3 years in direct school site management)

  • Experience directly supervising and managing people, required and a team of at least five preferred

  • Experience in project management preferred

  • Experience working in schools or with youth and families preferred

  • Experience with Google Apps administration preferred

  • Bilingual in Spanish preferred

Supervision & Collaboration:

  • Reports to: CEO

  • Manages: Operations Associates, Technology Manager/Team, Food Service Staff

Time Commitment:

This is a Temporary full-time position from February 15, 2020-August 15, 2020 (exact dates may change as needed to accommodate schedule). This role is expected to maintain minimum building hours of M - F from 7:30 - 5:00 p.m, with occasional needs during evenings and weekends (e.g., Student Expos, Support for Community Events). Follows 220-day 12-month staff work calendar during time working.
