Accounting Firm Seeks Accounting Assistant/ General Administration Assistant.

We are seeking a highly motivated Accounting Assistant to provide the full spectrum of Accounting, Bookkeeping, and Administrative support for clients of a small accounting firm. 

A rapidly growing small accounting/financial consulting firm is looking to hire a budding Accounting Assistant, Bookkeeper, and General Administrative Assistant who will grow with the company and handle a multitude of tasks, covering the full range of accounting and bookkeeping, as well as organizational and administrative duties.

The ideal candidate must possess the following attributes:

Requirements:

  • MUST HAVE FULL HOME OFFICE SET UP WITH NO BACKGROUND NOISE AND FEW DISTRACTIONS
  • Must have a fast and reliable home internet service
  • Has exceptional work ethic
  • Is trustworthy, organized, and punctual
  • Must pass a criminal background check (security and trust are of the upmost importance) 
  • Must pass skills assessments for needed accounting, cognitive, and computer skills
  • Must provide three professional references
  • Extremely detail-oriented and comfortable with large data entry transactions without errors
  • Minimum of 1-year experience with QuickBooks with the ability to troubleshoot transactions
  • Experience with Office Administration: Google Business, Google File Stream and Google Drive management between clients, cloud and paper filing, managing contact lists, Google calendar
  • Must be proficient in MS Word and Intermediate at MS Excel (sort data, pivot table, advanced functions)
  • GoToMeeting or Zoom Online Meeting Experience
  • Strong communication skills critical
  • Ability to prepare and process payroll with multi-level departments and manage online personnel data
  • Ability to audit transactions and communicate properly with other staff
  • Ability to work with no supervision remotely from home and takes initiative to communicate promptly with supervisor with any questions or concerns
  • Proactive problem-solver not afraid to recommend solutions
  • Analytical thinker with strong attention to detail
  • Ability to multi-task and prioritize multiple tasks to meet deadlines
  • Ability to exercise good judgment and maintain a high level of confidentiality of data and client information

Responsibilities:

  • Daily check-in with company owner or team lead
  • Handles day-to-day accounting transactions: A/R, A/P, payroll, journal entries
  • Prepares accounts receivables transactions, prepare invoices
  • Monitors receivables, including tracking payments received and outstanding
  • Prepares checks
  • Monitors vendor schedules and payments
  • Manages and reconciles credit card transactions
  • Reviews and communicates regarding Profit and Loss and Balance Sheet Reports
  • Daily Post Bank Feed or data entry transactions to QuickBooks Online
  • Manages all day-to-day bookkeeping activities through QuickBooks
  • Performs regular clean up on Chart of Accounts
  • Organizes, manages, and maintains accurate online folder tree filing
  • Categorizes, organizes, and labels all incoming paperwork daily via ShareFile, and Google Drive
  • Assists with new file clean up and manages new projects as needed
  • Develops company online presence on LinkedIn
  • Manages existing client relationships (holiday cards, gifts, thank you cards, etc.)
  • Answers phones and emails, schedules appointments with current and prospective clients and vendors
  • Routine office tasks: printing/copying/scanning/filing/mailing

Location: Los Angeles, California, partial remote work

Expected Start Date: 10/1/2020

Job Types: Full-time, Part-time

Pay: $17.00 - $20.00 per hour, Commensurate with experience
