Administrative | San Jose, CA | Full Time | From $23.00 to $23.00 per hour

Job Description

InGenesis is currently seeking a Program Support Specialist to work with our client located in San Jose, CA. In this role, you will provide essential administrative and operational support to ensure smooth day-to-day functioning of a healthcare-based workforce program. This role will focus on supporting key administrative processes, managing documentation, and assisting with system inputs and coordination efforts related to the contingent workforce.

Job Duties

  • Administrative & Program Support:
    • Assist the Program Manager with general administrative functions, including data entry, tracking, and reporting.
    • Submit employee onboarding and offboarding tickets, including access and system setup for new contingent workers.
    • Help maintain accurate records and documentation within the Vendor Management System (VMS).
    • Support the coordination and facilitation of contingent worker orientations.
    • Verify timesheets and follow up with managers or workers to resolve any discrepancies.
    • Prepare basic reports, meeting notes, and routine correspondence as requested.
    • Respond to general inquiries from contingent workers or staffing suppliers and escalate as appropriate.
  • Compliance & Documentation:
    • Assist with the collection, review, and filing of required documentation to ensure compliance with client and internal policies.
    • Monitor deadlines and expiration dates for credentials or onboarding documents as needed.
    • Track and follow up on missing or expired items to maintain worker compliance with contract and regulatory requirements.
  • Other Duties:
    • Perform any additional support duties and responsibilities as assigned.

Minimum Qualifications:

  • High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
  • Minimum of 1-2 years of administrative support experience, preferably in a healthcare, HR, or staffing environment.
  • Strong attention to detail and organizational skills.
  • Ability to manage multiple priorities with accuracy and efficiency.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Experience with Vendor Management Systems (VMS) is a plus.
  • Strong verbal and written communication skills.

Physical Requirements:·

  • Demonstrate physical agility, including the ability to bend, stand, and sit for extended periods.
  • Be capable of reaching to retrieve documents.
  • Ability to carry materials and/or file boxes weighing up to 20 pounds.
  • Expect to travel up to 30% to 40% as part of the role's responsibilities
