Contract Administrator I
Work Location: Dallas TX

Job Summary/Description
Assist Sr. Contract Specialist with set up and processing of routine contracts, including data entry in contract database. Also assist with follow up communication on pending contracts. Works under general direction to participate in and coordinate the acquisition of construction services.

Job Duties/Responsibilities/Functions (including but not limited to)
• Coordinates contracts review and execution and tracks processes to fulfillment.
• Prepares and reviews payment applications and contract items for the Capital Projects Division review
and approval.
• Reviews contracts to ensure that terms are in accordance with UT Southwestern policies and procedures.
• Enters and tracks invoices and commitments in e-Builder or other project management software.
• Administers changes and claims for contracts. Ensures that each assigned invoice processed for payment
is consistent with terms, conditions, and payment provisions of a valid contract or subcontract.
• Monitors contractors for HUB and insurance compliance in accordance with contractual requirements.
• Supports Project Managers to resolve contractual and invoice issues. Participates in pre-construction
conferences and meetings.
• Provides effective record keeping to ensure all contract documents are readily assessable.
• Ensures monthly meetings are conducted and improvements are implemented in a timely manner.
• Attends routine meetings with PMs and/or Contractors to discuss project status, billings and any other
issues as it relates to the contracts or financial impact to the project.
• Compile and prepare year-end accruals.
• Prepare monthly reconciliations.
• Performs other duties as assigned.

Minimum Qualifications
• High School graduate or equivalent.
• Minimum of five (5) years’ experience in contract administration, purchasing, or accounts payable
including the review and understanding of legal contracts, terms, and conditions. Construction related experience
preferred.
• Work requires effective oral and written communication skills.
• Work requires proficiency in administration of bids, contracts and budgets.
• Work requires exercise of considerable judgment in scheduling and coordinating work.
• Work requires a highly level of administrative ability and proficiency in personal computer operations to include Microsoft Office.
• Work requires contact with all levels of internal and external people to affect final determination of problems of recurring but non-routine nature.
• Prefer proficiency with PeopleSoft.
• Prefer proficiency with e-Builder.
