Administrative Assistant - Label Marketing
Work Location: New York, NY

Job Summary/Description
Provide administrative and office support activities for Operations as well as general support for the Marketing and Sales departments, including data analytics and vendor relations.

Job Duties/Responsibilities/Functions (including but not limited to)
• Work closely with General Manager, VP of Marketing, Senior Director of Sales to support the label across marketing and sales
• Provide administrative and office support activities:
• Receive, screen, and route incoming telephone calls
• Sign-in guests and buzz-in and greet visitors
• Maintain calendar, schedule meetings/conference calls, and coordinate travel
• Process expense reports
• Perform general clerical duties to include but not limited to:
• Assist with the development of presentations
• Act as a resource to other staff and assist as requested
• Provide occasional coverage for assistants on vacation or break
• Set up food for meetings and office performances
• Prepare FedEx & USPS shipments
• Distribute office deliveries
• Keep track of office/mailroom supplies
• Prepare office in morning:
• Stock kitchen with cups, plates, utensils, coffee, tea, milk, etc., and conference room fridges with bottled water
• Run/unload dishwasher [once or twice a week]
• Turn on TVs in front and back
• Change marquee as needed
• Manage the label social media and streaming presence for all RED MUSIC properties
• Master and utilize a variety of public and proprietary data analysis systems (Example: Nielsen Music Connect, Mediabase, Next Big Sound, Shazam for Artists, SCUBA, SMART)
• Compile, generate, and distribute sales figures and data analysis reports
• Coordinate activity and communication with outside vendors in relation to marketing campaigns
• Process marketing invoices, liaise with finance department
• Assist in the creation, printing, and distribution of promotional materials for assigned projects
Minimum Qualifications
• High school diploma or equivalent; Bachelor’s degree preferred
• Strong systems, data analysis, and problem-solving skills
• Computer skills including MS Office and Google Docs experience
• Understanding of invoicing process
• Excellent communication skills
• Organizational skills and attention to detail
• Ambitious and entrepreneurial with the ability to wear many hats and thrive in a fast-paced environment
