About the Job:

Working closely with the COO, CFO and Director, Pursuit, the Application and Pursuit Administrator is an agile, business savvy individual who is a trustworthy influencer with strong communication skills, who is open to giving and receiving feedback. The Applications and Pursuit Coordinator is  the first point of contact for internal and external customers interactions with Holistic’s and must be tightly aligned with Holistic values.   

This position is virtual and may be officed in any east-coast location where we have a work site including Washington, DC, New York City, Massachusetts, Maryland, or Pennsylvania.


  • Research and Administrative Support
    1. Research a variety of topics for the purpose of providing information and/or recommendations.
    2. Provide administrative and analytical support to the Executives in an effort to ensure timely and effective communications between the Executives and stakeholders, both Internal & External.
    3. Provide support in short and long-range strategic planning initiatives for the Executives
    4. Create and maintain comprehensive filing system; manage accurate records to ensure the integrity of the information
    5. Represent the Executives in their absence for the purpose of addressing matters that require immediate attention
    6. Carry out major assignments in conducting the operations of the business

  • Document Preparation & Management
    1. Format and edit reports, letters, memos, reports, and presentations as required. Use independent judgment to compose general business documents. Is privy to, and must protect confidential materials. Follow an organized filing/document management process for electronic and paper documents.

  • Financial Management Support
    1. Responsible for expense tracking and submission, keeping the bottom line top of mind. Assist with purchase order creation and tracking as needed.

  • Time and Calendar Management
    1. Manage executive calendars. Ensure that the executives time is aligned to corporate strategy and priorities, consistently reviewing to eliminate conflicts and rescheduling to accommodate urgent and priority meetings.

  • Meeting Coordination and Participation
    1. Coordinate on-site and off-site meetings and events. Responsible for securing meeting space, compiling meeting materials and agendas, and circulating to participants. Ensures that any catering, AV, presentation materials are looked after as required.
    2. Participate in team meetings where appropriate to establish a solid understanding of department initiatives and projects in order to support projects and initiatives as requested. Takes minutes, and tracks action items, including follow up to ensure teams stay on track. Willing to jump in wherever required, in order to get the job done.

  • Travel Planning
    1. Coordinate cost-effective and sometimes complex travel arrangements and itineraries for executives.

  • Special Projects
    1. Assists with special projects where appropriate

    1. Exercise independent judgment in bringing information and issues relating to the operations of the department to the attention of the Executives

  • Diploma/Degree Business Administration or Office Administration or equivalent experience
  • 5 years of administrative support experience
  • Event planning
  • Travel planning and management
  • Experience in a fast paced, rapidly changing environment
  • Requirements
  • At least 21 years of age and able to obtain badge
  • Excellent written and verbal communication skills, fluent in English
  • Available to travel to company locations as needed for meetings
  • Strong problem solving skills
  • Ability to source suppliers and vendors as required
  • Confidentiality is imperative
  • Advanced proficiency and strong working knowledge required in Microsoft Office Word, Excel, PowerPoint, Outlook, SharePoint, and Adobe Acrobat X
  • Ability to work independently, quickly, and virtually
  • Must have good judgment and exercise the utmost discretion with confidential and sensitive information
  • Ability to prioritize work and provide a high level of customer service


  • Constant use of both hands and arms in reaching/handling/grasping/fingering while using phone, notepad, writing reports, and other administrative tasks
  • Constant use of eyes (correctable vision to normal level required) to observe, read, interact with public and co-workers, view security monitors; includes hand/eye coordination
  • Read, understand and clearly speak English; constantly use speech and hearing (correctable to normal level required) in communicating with public/co-workers, giving and receiving instructions, using phones
  • Work in office environment with artificial lighting
  • Able to work in warehouse environment with exposure to marijuana plants and grow chemicals
  • Constant mental alertness and attention to detail required while setting priorities and following up on assignments
  • Must possess effective written and oral communication and interpersonal skills with ability to deal with all levels of personnel and the general public in a professional and effective manner; must be able to use initiative and independent judgment within established guidelines
  • Must be able to frequently prepare written reports and logs in neat, legible handwriting; may require computer skills
