We are presently looking for a Facilities Coordinator

IN THIS ROLE YOU WILL:

Responsible for managing daily facility operations and the management of the following, but
not limited to, vendor/contractor scope of service and associated contract management and
related activities for lease and facility management. In addition,will have responsibilities as
directed.


RESPONSIBILITIES

  • To interface with internal customers and resolves problems. Customer grievance tracker to be maintained and updated on weekly/monthly basis.
  • To ensure all the internal customers complaints are attended at all time within set turnaround time.
  •  Provide services and other amenities to employees as we continue to grow. Services include reception, hospitality, general office services, support company events etc

    turnaround time.
  •  Provide services and other amenities to employees as we continue to grow. Services
    include reception, hospitality, general office services, support company events etc
  • Maintain vendor contract documentation and manage the lifecycle of vendor
    agreements.
  •  Finding vendors for any tasks, receive quotations and initial negotiation
  • Oversee the Front Office, Security, Housekeeping, Cafeteria, Pantry, Indoor/outdoor
    plants, Pest Control, etc.
  •  Repair & Maintenance, ensuring all the repairs are done within turnaround time.
    Maintain a record of all the activities of maintenances.
  • Inventory Management, keeping a record of all purchased items and ensuring its
    availability at all the times.
  • To Ensure Checklists & Logs are updated & maintained as per the prescribed frequency.
  • Space management in the coordination of office.
  •  Manages/ participates in facility systems maintenance (fire, security and HVAC, ect.),
    parking, access control, and drills.
  • To be responsible for the leave planning of HK staff for F.M. department & to ensure
    availability of standby resources at all times
  • To provide administrative support to the Facilities Management team.
  • Suggest and initiate cost cutting measures without sacrificing the quality of Gracenote
    life and services
  •  To evaluate support services, identifying needs, anticipating problems and developing
    corrective action plans.
  •  Assist in purchasing where needed.
  •  The position has 24/7 facility responsibilities.
  •  Other duties and responsibilities as assigned.
     

FOR THIS ROLE WE ARE LOOKING FOR INDIVIDUALS THAT HAVE:

  •  Minimum of four years of previous experience in facilities management.
  •  Excellent customer service skills including strong organizational, interpersonal and
  • communication skills.
  •  Ability to work in a team environment with multiple points of view/interests.
  •  Demonstrated project management skills with deliverable results supporting overall goal achievement.
  •  Strong mechanical aptitude as it relates to furniture, fixtures and equipment in the
  • workplace.
  •  Familiarity with PowerPoint, Excel and Microsoft Project.
  •  Financial analysis and budgeting skills related to facilities.
