Home Care Agency Office Assistant

The Office Assistant provides administrative, secretarial and clerical support to the Senior TLC Home Care Agency to maintain an efficient office environment. The Office Assistant is to assist the administrative staff with any assigned tasks that he/she has been properly trained to complete.  The Office Assistant must have good organizational and technical skills relevant to the role with the ability to problem solve, pay attention to detail and deliver work to a high standard and to tight deadlines.Education: High school education

Experience: Minimum one year of employment in an office setting.

Licensure, Registry or Certification Required: NC drivers’ licenses

Special Training: Must be able to work effectively in a team environment. Must possess excellent communication, interpersonal skills. Be knowledgeable in multiline computer operations and phone systems as well as excellent writing and reporting skills.  Have at least one year experience with the frail elderly population.

Main Job Tasks and Responsibilities

  • Receive task sheets & time sheets from home care aides
  • Answer phones and transfer to the appropriate staff member
  • Take and distribute accurate messages
  • Greet aides and provide information and assistance and direct them to the correct staff member
  • Fax, scan and copy documents
  • Maintain office filing and storage systems
  • Update and maintain databases participant information (AdaCare)
  • Retrieve information when requested
  • Type documents, reports and correspondence
  • Monitor and maintain office supplies
  • Ensure office equipment is properly maintained and serviced
  • Perform work related errands as requested
  • Occasional on call phone duties (emergency basis only)
  • Other duties as assigned
