Job Purposes / Description

To maintain the patients that have ever availed themselves of a service of ours in constant communication with us, so as to show we care for them and we are available for help and services. As a consequence of this we want to offer our services and always be the first practitioners to come into their mind if they or their family and friends are in need of care.

As patients finish or drop out of their programs and are not in the clinic for more than 90 days, they are written to, to see how they are doing and if they need any help.

This posts' job is to write aesthetic letters that are free of typos and that inspire the person to avail themselves of our services and/or refer others to our services (you’ll have a guided template to compile for that).

In order to actually reach those patients, this job's responsibility is to keep the files updated with the current address etc, in proper alphabetical order and divided for categories.

Essential Responsibilities

  1. Ensure letters are written and mailed out to quota regularly and professionally, so to attract people

  2. Keep the files updated and properly organized so that folders are available and patients can be reached/ serviced

Basic Duties will include

  • Write letters daily using a pre-prepared format

  • Double check for typos and errors and keep a word document of the patients we wrote to

  • Print letters, file the copies in the folders and prepare envelopes with letter and promo

  • Insert data of new and re-evaluated patients to keep the folders up-to-date

  • Keep the different categories of files properly organized.(kept in separate categories and locations)

  • Write to patients that reply to our letters.

Hours of work:

Clinic admin hours: Monday through Friday 9am-5pm. (with 30 minute lunch break)

Part Time hours within this timeframe to be worked out.

Reporting Relationship:

This is a junior position and will directly report to the Communications Executive.

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

· High school diploma or GED.

· Experience working in a medical office for 1 year

· Must be dependable, highly organized, systematic, and an excellent ability to multitask.

· Attention to detail and ability to complete tasks with accuracy and properly prioritize.

· Excels in a team environment for work to achieve overall goals of the organization.

· Able to work in a face paced environment

· Great communication skills
