Summary of Position:

The Wholesale Coordinator will be responsible for supporting the ULTA Beauty Wholesale Sales team with administrative tasks and act as a liaison between cross-functional departments & the retail channel while owning all data content set up and supporting channel strategies for new product launches and core business.

Principal Accountabilities:

  • Owns execution & manages item level SKU set up with retail channel
  • Owns execution of retailer dotcom site by building and maintaining brand PDP pages. Works cross-functionally to obtain all web enrichment copy, shade finders, product images, and web store banners with Creative & Copy teams. Maintains any updates as necessary.
  • Responsible for pulling & distributing weekly sales reports from retailer database
  • Support Wholesale team with updating weekly & monthly sales reports, analysis of weekly and monthly retailer sales reports and suggest learnings and hindsight, utilize retailer databases and sales portal to analyze core and new product performance.
  • Supports the Wholesale team & retail channel partners, acting as an additional point person for retail buyers to help answer questions and troubleshoot issues
  • Support in new launch documentation using Ulta’s MTT backout calendar; add/deletes, display proposal forms, quarterly assortment files, etc. as needed
  • Provides VM support with executing Wrike project kick-offs, reviewing artwork, cross-checking SRP and copy accuracy. Provides insight on assortment and visual merchandising where necessary to drive sales
  • Responsible for updating shared files with cross-functional partners, capturing retailer launch dates & 360 channel animation details, support sales team with maintaining Brand Plan & Side by Side document for the retailer
  • Facilitates execution of project management for retailer events (Field Leadership Conference, personal appearances with Talent) through briefing internal teams, implementing details, ordering support tools, sourcing vendors, creating run of show, and managing event documents
  • ­Manages monthly non-sellable inputs for channel
  • Owns and execute inventory & comp requests on behalf of Wholesale department for all channel marketing needs, events, educational tester needs, and education gratis.
  • Coordinate meetings, conference calls, and events; reserves locations, send Outlook invitations, manage attendee list, coordinate with audio visual, assists with preparing agendas, organizing documents, and sending meeting recaps
  • Use Microsoft Office products ­Word, Excel, Power Point to build presentations and shared workbooks & spreadsheets
  • Creates product launch recap PowerPoint decks for sharing internally and historical reference & supports in maintaining cross-functional marketing calendars


Key Working Relationships:

  • Works with Sr Specialist & Director of Wholesale and internal partners
  • Cross-functional relationships with retail partners, Visual Merchandising, Brand, Demand Planning, Sales Operations, Creative, and Copy in owning project and comp requests for completion of tasks
  • Partner with Brand in pulling product assets and copy for retailer dotcom and marketing exposures
  • Assists the Director of Wholesale and Sr Specialist with relevant ad-hoc projects including reporting analysis, promotional activity, and other ad-hoc tasks when necessary
  • Serves as a 'proxy' for Sr Specialist, attending and contributing to both retailer and internal meetings when needed


Required Skills & Experience:

  • Bachelor's degree preferred
  • Excellent Excel, MS Word, PowerPoint, and project management skills required
  • Minimum 1-2 years’ sales/merchandising/buying experience in cosmetics or retail industry preferred
  • Must possess strong interpersonal and organizational skills
  • Strong analytical skill with a high attention to detail
  • Must exhibit excellent communication and presentation skills (written and oral)
  • Dynamic, innovative personality with determination to perform at high standards

Travel Requirements:

  • Travel quarterly for retailer events and market meetings

Additional Information:

FORMA Brands takes a market-based approach to pay, and amounts will vary depending on your geographic location. The salary range reflected here is for positions based in the Greater Los Angeles area. The successful candidate’s starting pay will be determined based on job-related skills, experience, qualifications, work location, and market conditions. These ranges may be modified in the future without notice.

Compensation Range: $50,000 - $60,000
