Job Description:

The Clinic Office Manager oversees patient flow and the daily operations of the medical office. Responsible for the operations and administration side of a medical office. Ensures office is running smoothly by supervising office staff, hires, terminates, and trains employees, and oversees the entire billing portion of the office. This position requires knowledge and experience in all facets of medical business office management.




  • Development and implementation of office policies and procedures

  • Protection of patient privacy and confidentiality per policies and procedures

  • Maintenance and organization of medical records

  • Screening in-coming calls and guests in order to effectively transfer individuals to physicians and/or other appropriate staff members

  • Scheduling patient appointments

  • Oversight of Accounts Payable

  • Data entry into the EMR

  • Ordering and maintenance of office supply inventory, medical inventory, and other required materials



  • Assist in credentialing and negotiating insurance contracts; Assist in the application process of Medicare, Medicaid and other government programs and/or credentialing requirements

  • Assist in processing facility and practitioner(s) credentialing applications to determine eligibility status

  • Implement and maintain an effective credentialing processes which appropriately credentials physicians and non-physicians for clinical or non-clinical privileges

  • Monitor all accreditation standards and legal requirements related to medical staff credentialing ensuring that operations conform to current and appropriate regulations

    • Contact physicians regarding outstanding course

    • Act as liaison with Human Resources regarding course assignments

  • Follows legal, State and Federal agency, State licensing board, and TJC standards



  • Recruitment and selection of medical office staff

  • Training of office staff to the company processes and protocols



  • Oversight of billing, coding, and collections

  • Entering procedure codes with correct diagnosis

  • Importing financial documents into patient’s EHR.

  • Reconciliation of charges and preparation of daily deposits.

  • Running and maintenance of error reporting system and makes corrections as needed

  • Collection of medical office charges, post charges to patient accounts and accurately manage cash drawer




  • 2 - 3 years previous experience in medical office management

  • Bachelor's Degree in Business Management or related field

  • Knowledge of Medicaid and Medicare

  • Strong communication, organizational, and detail orientation skills required

  • Ability to effectively interact with physicians, patients and other staff members

  • Proficient in computer applications, spreadsheets and word processing

    • Utilizes Electronic Medical Record and Practice Management programs effectively

  • CPT & ICD-10 coding knowledge required.
