Job Status: Non-exempt, Full-time
Salary Range: $62,142-$69,850 ($29.87 per hour - $33.58 per hour)
(+ up to 10% bilingual differential pay)
Summary
The Program Coordinator provides critical administrative and programmatic support to First 5 Sonoma County staff and Commissioners to ensure transparent, fair and statutorily compliant implementation of governance processes including strategic planning, competitive procurement and convening of public Commission meetings, contract procurement. In addition, this position provides support to funded partners and stakeholders to ensure access to resources, information, training and events that promote and elevate the importance of early childhood development, child health, and resilience and well-being of Sonoma County’s children and families.
Essential Duties & Responsibilities
Program Coordination and Implementation
- Support the development and implementation of funded programs and initiatives aligned with the First 5 Strategic Plan.
- Assist in the coordination of special projects, pilot programs, and collaborative efforts with partner organizations.
- Provide administrative support in formatting documents, conducting research, and gathering information for contracts, reports, and policies.
- Monitor program activities to ensure alignment with goals, timelines, and deliverables.
- Provide logistical support for meetings, community forums, trainings, and events.
- Facilitate program related trainings and meetings, as assigned.
- Maintain accurate tracking and documentation for program activities.
- Other duties as assigned
Support for Funded Partners
- Gather and disseminate relevant resources on best practices related to grant goals.
- Promote and facilitate program referrals and inter-agency connections through meetings, site visits, and outreach.
- Support partners in implementing culturally and linguistically responsive practices that serve BIPOC and immigrant families.
- Maintain accurate and organized documentation in alignment with First 5 policies and audit standards.
Community Engagement and Communications
- Coordinate workshops and training events, including organization of logistics, speakers, materials, event promotion, etc.
- Facilitate stakeholder meetings involving parents, community members, and service providers.
- Provide logistical and technical support for Commission and Measure I Community Advisory Council meetings.
- Work with staff and consultants to organize and gather community and stakeholder input through surveys, focus groups and other mechanisms.
- Serve on external committees and workgroups, as assigned.
- Respond promptly to internal and external inquiries; provide resources, materials, and assistance as needed.
- Help update and distribute the First 5 Sonoma County Parent Resource Guide.
- Support outreach strategies that engage diverse communities.
- Draft communication materials, social media content, and reports related to assigned programs.
- Coordinate distribution of supplies to community partners .
- Prepares information and communications on program activities for distribution to the Commission, network, and partners through various media.
- Provide translation of documents and interpretation during meetings and events, as needed, to ensure accessibility and inclusivity for monolingual Spanish-speaking audiences.

Budgetary/Supervisory Responsibilities
This position does not have agency budgetary oversight and does not have supervision of direct reports.
Required Experience & Education
- Fluency in Spanish (reading, writing, and speaking), with demonstrated experience in verbal interpretation and written translation preferred.
- Minimum three years administrative experience in a public or government agency, related to education, health, social services, criminal justice, community development, or another relevant field.
- A combination of lived and professional experience working with and for communities of color, low income, or underserved communities, and the capacity to demonstrate cultural humility and healing-centered approaches in their work with different stakeholders.
- A general understanding of Racial Equity principles, Anti-Racism, designing to the margins, strong commitment and passion for social justice, and an ability to apply the concepts in their work.
- Bachelor's degree preferred.
Required Knowledge, Skills & Abilities
- Knowledge of government/public sector processes and culture of public service.
- Uses leading practices in administrative support.
- Highly proficient use of technology, including Google Suites, Microsoft Office, Canva, Adobe and internet.
- Extreme attention to detail and accuracy, while also seeing the “big picture”.
- Effectively and accurately communicates in both oral and written forms.
- Works well in collaborative environments, in shared space, or independently/remote.
- Ability to plan, organize and prioritize own work to meet deadlines and accomplish assigned tasks within established timelines including maintaining accurate records and files.

Preferred Knowledge, Skills & Abilities
Bachelor's degree in child development, psychology, education, or related field or equivalent experience.
Physical Requirements
Regularly required to talk and hear, stand, walk, bend, kneel, and crouch. Work is occasionally physical, requiring setting up for meetings, lifting or carrying cumbersome materials of up to 25 pounds, e.g., easels, flip charts, refreshments, brochures, etc.
Work Environment
- This job primary operates in a hybrid remote/professional office environment.
- Some travel to attend various meetings.
- Possession of a valid California Driver’s License and appropriate insurance.
- This position may occasionally require weekend or evening hours to support community outreach events or trainings.
