Customer Account Specialist

Job Description

F&S has experienced growth by expanding product lines and with that, distribution & retail channels. Currently, F&S operates nine (9) retail stores under the name Baja Duty Free and three (3) distribution centers around the country. We are looking for a talented ERP/CRM experienced Customer Service Representative to join our Oakland, CA headquarters team.


The Customer Service Representative is responsible for maintaining various accounts, such as cruise ships, commercial freighters, fishing vessels, embassies and military bases, with duty free products.


Primary Responsibilities:

  • Input, process, and maintain orders in ERP system & email correspondence
  • Confirm order details, price, and estimated time of delivery with customer
  • Work closely with customers, purchasing department & warehouse to meet shipment deadlines
  • Answer inquiries, primarily via email but also by phone regarding accounts and communicate any changes or updates to the customer
  • Responsible for all required documentation, bond paperwork, export declaration, shipper’s bill of lading, and other documentation related to orders
  • Insure that proper  bond paperwork and procedures are followed for the different port locations


Job Qualifications: 

  • High school diploma or equivalent
  • 3 years experience with heavy data entry in customer service maintaining a customer load of at least 20 dedicated clients
  • 2 years experience with international trade zones or working knowledge of customs regulations is highly desirable
  • Business to business experience is a plus
  • Intermediate level of proficiency with Office-related computer applications: Word, Excel, Outlook
  • Experience with  ERP or CRM
  • Organized and time management skills
  • Accurate and detailed oriented
  • Impeccable follow up skills
  • Excellent verbal and written communication skills
  • Ability to work independently and solve problems


Essential Function: (Physical & non-physical) 

  • Regularly reads printed and/or electronically transmitted order documents and verifies receiving and shipping documentation, follow written and verbal instructions and use simple math
  • Develop constructive and cooperative working relationships with others and maintaining them over time
  • Communicate effectively using verbal and nonverbal skills using telephone, email, or in person
  • Able to handle varying levels of stress and/or work volume including a fast paced work environment
  • May include lifting up to 25 pounds on occasion
  • Back up other customer service representative as required
