Ethos is a private, non-profit organization that is dedicated to promoting independence, dignity and well-being among the elderly and disabled through quality, affordable and culturally-appropriate home and community-based care. As a state-authorized Aging Services Access Point (ASAP), Ethos coordinates all the non-institutional home and community-based services for elderly and disabled residents of the southwest Boston neighborhoods of West Roxbury, Hyde Park, Roslindale, Jamaica Plain, and Mattapan and well as, provides city-wide nutrition services in Boston, which serve approximately 2.1 million meal for older adults, delivered to the home (Meals on Wheels) or served in neighborhood congregate settings (Community Cafés).

The position of Representative Payee Program Coordinator is part of Ethos’ Boston Money Management Program. BMMP affirms the missions of Ethos and our partners in the aging services field by facilitating payments of essential expenses for at-risk elderly and disabled clients to stabilize independent living within their communities.

POSITION OVERVIEW: The Program Coordinator assists the BMMP Program Manager in the coordination of the Representative Payee Program which uses Money Managers and associate’s, bachelor’s and master’s level interns to help elders stabilize their housing by using their social security income to pay their bills and maintain essential documentation supporting required payments.


Responsibilities:
Interviews, orients and on-boards new clients and logs them into the Salesforce database.
Collects essential supportive documentation to create solvent spending plans
Prepares Representative Payee applications for clients.
Listens to the BMMP automated line to produce Salesforce work orders to manage Representative Payee staff workflow.
Calls clients and collaterals for spending plan adjustments
Communicating with social security for Rep Payee application results
Data entry in Salesforce to reflect client file changes
Responding to collateral and client phone calls routed from the front desk
Documenting and following through with the all necessary steps as outlined in the termination process between the Representative Payee and client
Return any conserved funds to the Social Security Administration via cashier’s check
Build and maintain professional relationships with client’s collaterals to support client in Representative Payee Program.

OTHER ADMINISTRATIVE TASKS:
Manage workflow on Salesforce
Archive terminated client files in Salesforce
Coordinate in-service trainings to comply with EOEA measures
Maintain essential documentation for client files
Inform Bookkeeper about shutting down automated payments and all memorized QuickBooks transactions
Facilitate quarterly Advisory Council meetings
Support Manager in EOEA audit requirements
Support Manager and Bookkeeper in SSA audit requirements
Perform clerical and other related duties as assigned by supervisor.
Present to internal stakeholders and external partners on the services of the Representative Payee Program, how to make referrals, and general information on identifying risky and crisis behavior.


Requirements:
Experience working with the elderly, crisis intervention or de-escalation experience, and/or experience working in a community service setting is preferred.
Ability to utilize interpersonal skills in relating sensitively to the concerns affecting the elderly and disabled individuals and the population as a whole is preferred.
Previous experience working in a team-based environment highly desirable.
Ability to observe and report objectively in both a verbal and written manner.
Flexibility to accept changing priorities.
Ability to climb stairs and carry up to 20 pounds.
Excellent communication skills.
Intermediate computer skills with database experience required. Knowledge about Salesforce and Office 365 is preferred.
Some financial literacy on Social Security Administration as it relates to Representative Payee is preferred.
