In this critical position, you will be at the forefront of managing the organization's medical chart workflow, from receipt to client delivery. Further, this role involves administrative tasks such as managing company mail and offering support as necessary.

Episource’s Processing Specialist I is an individual contributor position where you will analyze various factors and exercise judgment within established procedures while building strong internal and external relationships within the organization.

This is a work-from-the-office position that is NOT remote. You’ll report to Episource’s Manager, Recovery & Processing Operations.

  • Serve as a dedicated mailroom advocate. Embrace the mail flow with zeal by swiftly receiving, sorting, and distributing incoming company mail and packages. Maintain meticulous records for both incoming and outgoing mail, while lending a hand with various mail-related tasks, by efficiently preparing boxes, packages, and company mail for dispatch, and managing outgoing mail, including sorting and distribution, seamlessly. Keep a sharp eye on inventory accuracy and promptly report any discrepancies that may arise.

  • Showcase your data-driven excellence. Efficiently receive and process incoming medical records, organizing and archiving them upon completion. Verify patient information for data accuracy and uphold consistent record-keeping standards while ensuring compliance with relevant regulations.

  • Leverage your innovative administrative skills. Inspire efficiency by maintaining organized filing systems and overseeing mailroom equipment and supplies. Keep physical medical chart storage areas orderly and clean, ensuring easy access. Proactively communicate with providers via phone to verify parcel data accuracy and obtain necessary credentials.

Job Summary:

The Chart Processing Specialist plays a pivotal role in encompassing the organization, receipt, processing, and delivery of medical charts to clients. This role also extends to assisting in various administrative functions, including handling company mail and providing support as needed. Works on problems of limited scope. Follows standard practices and procedures in analyzing situations or data from which answers can be readily obtained. Builds stable working relationships internally.

  • Mail Handling:
    • Receive, sort, and distribute incoming company mail and packages.
    • Keep accurate records of incoming and outgoing mail.
    • Assist with mail-related tasks as required.
    • Assist in preparing boxes, packages, and company mail for dispatch.
    • Handle outgoing mail, including sorting and distribution.
  • Medical Chart Processing:
    • Efficiently receive and process incoming medical records.
    • Organize, sort, and archive medical records after completion.
    • Ensure data accuracy by verifying patient information and maintaining consistent record-keeping standards. Verify compliance of the medical charts with relevant regulations.
    • Conduct weekly audits to verify the accuracy and completeness of medical records.
    • Process charts through different methods such as SFTP on a routine basis.
  • Administrative Support:
    • Maintain organized and efficient filing systems.
    • Maintain mailroom equipment and supplies.
    • Monitor and maintain the organization and cleanliness of physical medical chart storage areas
    • Proactively reaching out to providers via phone for the purpose of verifying parcel data accuracy or requesting necessary passwords and access credentials.

  • Versatile Support:
    • Collaborate with various departments and teams to provide support as needed.

    • Lift and carry boxes of medical records (Up to 50 pounds)
    • Able to maintain the ability to work in an environment with PHI / PII data
    • May be assigned other duties.
    • Must maintain compliance with all company policies and procedures

Qualifications / Requirements:

  • 0-1 years of experience in Medical Record processing, preferably in the healthcare or technology industry.
  • High school diploma or equivalent; additional relevant education or certifications are a plus.
  • Previous experience in medical records management or related administrative roles preferred.
  • Knowledge of HIPAA regulations and healthcare record confidentiality is preferred.
  • Strong organizational skills and keen attention to detail.
  • Ability to work both independently and collaboratively.
  • Excellent Verbal and written communication skills, including the ability to effectively communicate with internal and external customers.
  • A basic understanding of Microsoft Excel and Adobe Acrobat is required.
  • Salesforce CRM experience preferred.
  • Ability to learn new software and adapt to new processes quickly.
  • Basic understanding of scanning functions and folder structures.
  • Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service.
  • Proficiency in using office equipment and computer applications.
  • High level of ethics, integrity, discretion, and confidentiality.
  • Able to maintain a clean and safe work environment

Physical Requirements:

  1. Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting productivity standards.
  2. Must be able to lift and carry up to 50 lbs.

Working Conditions:

Working conditions are normal for an office environment.

Requires prolonged sitting, some standing, some bending, stooping, and stretching, and requires eye-hand coordination and manual dexterity sufficient to operate a computer keyboard, photocopier, telephone, and other office equipment.

This is an in-office role, requiring a person to work in the primary office location. The person in role will be able to work remotely on the weekend and hours based on a pre-approved schedule that is subject to change based on business needs.

Salary Rate: $18/hour)

Pay is based on several factors, including but not limited to education, work experience, certifications, location, and other relevant factors. This is Episource’s good faith and reasonable estimate of the compensation range for this position as of the time of posting.
