Executive Assistant

Job Description

We are looking for an Executive Assistant to support multiple  C-Level Executives. This is a fast paced team and the EA plays a critical role in helping it run. In this role, you’ll work across the organization to schedule meetings, plan events, and help the team run smoothly. The ideal candidate will be proactive, work without boundaries, and bring a blend of professionalism, passion and flexibility to the role.

 

Responsibilities

  • Assist with multiple executive calendars- scheduling, organizing, and managing.

  • Be a motivated self-starter who works independently, effectively problem solves and prioritizes work, and anticipates the needs of the leaders.

  • Coordinate prioritized travel arrangements and manage expense reports.

  • Proficiently answer, screen and route internal and external requests.

  • Organize meetings and special events, including all hands, off-sites, culture events, team building, etc.

  • Document meeting minutes and manage action items when needed.

  • Support special projects as needed.

  • Understand business operations and use this expertise to help improve operations and overall efficiency of the organization.

  • Demonstrated ability to be proactive and take initiative.

  • High maturity and the ability to exercise good judgment, discretion and confidentiality in all tasks.

  • Deadline driven and able to manage time sensitive issues in a fast paced environment.

  • High-level of ownership in the role.

  • Applies judgment with full understanding of urgency and priorities of the business, routinely needing to reprioritize and manage multiple responsibilities simultaneously.

  • Executes flawlessly in highly ambiguous & dynamic environment.

  • Manages stakeholders effectively.

  • Excellent communication and analytical skills, specifically related projects, procurement and reports.

  • Ability to quickly learn and adopt new technologies and be flexible.

  • Adapts to changes in systems, tools, and processes.

  • Proficiency with Google Apps in a corporate setting (Google Mail, Calendar, Docs, Spreadsheets).

 

Role is based in our San Francisco headquarters.
