Electronic Health Records Coordinator

The Electronic Health Records Coordinator will compile, process and maintain medical records for Doctor on Demand patients in a manner consistent with medical, administrative, ethical, legal and regulatory requirements of the organization. Retrieve records and release information to patients, physicians, and staff as requested.

This position reports to the Manager of Member Support.

 

Roles & Responsibilities

  • Superior customer service skills which includes a friendly, positive attitude

  • Basic medical terminology knowledge

  • Basic knowledge of the rules, regulations, policies and procedures related to patient medical records and patient confidentiality

  • Knowledge and/or the ability to learn electronic medical records processing and procedures

  • Knowledge and ability for data entry and retrieval using a standard keyboard

  • Protect security of medical records to ensure patient confidentiality

  • Reviews records for completeness, accuracy and compliance with regulations

  • Retrieve patient medical records for physicians, technicians and other medical personnel

  • Fill record requests and release information to persons and agencies according to regulations. (i.e., Patient, physicians, insurance companies and legal entities)

  • Compile and maintain patients’ medical records to document condition and treatment, provide data for research, cost control and care improvement efforts

  • Fax office notes and test results to or obtain records from outside healthcare organizations and physician offices for continuity of care

  • Scan internal and external documents into the electronic medical record, attaching those scans to existing documents as needed

  • Separate incoming faxes, import into electronic medical record and route document to appropriate desktop, if applicable

  • Import and attach testing results to existing documents

  • Review patient chart and ensure all necessary documents are obtained and imported into chart prior to appointment

  • Demonstrate the ability to effectively deal with stressful situations in a calm and productive manner, while maintaining the highest degree of customer satisfaction

  • Always performs concise and thorough documentation in patient’s charts

  • Work closely with the clinical and legal departments to ensure appropriate and timely release of records according to specific state and federal regulations

  • Maintain strictest confidentiality

  • Other duties as assigned

Minimum Qualifications

  • This position requires accreditation in Health Information management, or equivalent knowledge/experience, to include ICD-10 coding and medical terminology.  

  • A minimum of three years related experience is required.

  • Must possess the ability to communicate effectively, including written and verbal skills; work well, both individually and as part of a team, through respect, collaboration and dedication; and successfully interact with a diverse culture base.

  • Able to work independently
