Title: Shipping and Receiving Clerk / Administrative Assistant
Schedule: Full Time – 40 hours per week. Monday through Friday.
Location: Corporate Office in San Ramon, CA 

Position Summary:

The Shipping and Receiving Clerk / Administrative Assistant will plan, direct, or coordinate supportive shipping/receiving and operations services for select departments within the organization, including tasks such as scheduling, quality assurance, patient follow-up, front desk reception when needed, filing/back office, ordering supplies, shipping, receiving, managing inventory, and other office support services.   

GENERAL POSITION OVERVIEW:

  • Answer the phone; triage calls as appropriate

  • Read and analyze incoming memos, emails, and reports in order to determine their significance and plan their distribution

  • Open, sort, distribute incoming mail, including faxes and email as needed

  • File and retrieve corporate documents, records, and reports

  • Administrative support duties as required by the respective Agency

  • Greet visitors and triage appropriately.

  • Prepare responses to correspondence containing routine inquiries

  • Perform general office duties.

  • Manage and update the PTO calendar

  • Make copies, prepare Start of Care (SOC) packets, New Employee Orientation (NEO) binders as needed

  • Make copies of rehab exercise sheets, patient education materials, and field staff educational tools as needed

  • Manage inventory - clinical supplies and clinical equipment

  • May require shipping and receiving – UPS, USPS or FedEx

  • Assist with freight which may be large packages

  • Meetings – Prep meeting rooms when required –  drinks, food etc

  • Company events – Prep for the event, hire catering, entertainment etc

  • Deliver equipment or large packages within corporate office or between agencies

  • Other duties as assigned by the Interim VP of Home Health or COO

REQUIREMENTS:

  • High school diploma or equivalent required. Graduate from a one- or two-year Business College is preferred

  • Minimum of two years’ experience - preferably in-home health or health care

  • Knowledge MS Office, GSuite applications, Internet Explorer and telephone protocol

  • Basic knowledge of medical terminology

  • Proven problem-solving skills

  • Must be able to learn and work quickly

  • Possess exceptional customer service skills, strong interpersonal and written & verbal communication skills. 

  • Current valid Driver’s License and means of transportation.  Also current auto registration and auto insurance for the vehicle being used.  Auto insurance must be in accordance with state and organization requirements.

PHYSICAL REQUIREMENTS:

Concentration varies depending on the tasks at hand.  High levels of mental concentration are required. Must handle multiple tasks simultaneously and is subject to interruptions.  While performing the duties of this job, the employee is frequently required to sit for extended periods of time (7 hours per 8-hour workday). There may be frequent periods of standing while filing and faxing. The employee is occasionally required to lift and/or move 30 lbs. (office supplies, binders, etc.). Manual dexterity, visual acuity, and the ability to speak and hear are required. Ability to climb stairs.  There may be a need to at times drive to different agencies as needed.

WORK ENVIRONMENT:

Work is performed in a normal business office environment. The noise level in the work environment is usually quiet to moderate. Work may be stressful at times due to a busy office.  Interaction with others is constant and interruptive.
