About Us:

We are a pediatric speech therapy clinic that hires fun, kind staff to help our community of children improve their skills. We provide Speech, Occupational, and Physical Therapy to children 0-18 years old. Our mission is to help kids live their best lives! We do this by listening to our families, providing excellent care, and ensuring strong communication throughout the patient's experience.

Our current Front Desk Assistant will be starting graduate school later this summer, which means we're looking for a wonderful person to come help us!

We are currently seeking a Front Desk Administration Assistant to join our team and play a crucial role in ensuring the smooth operation of our practice.


Our front desk is where our families and patients first come in to our space and feel welcomed to be with us.

Responsibilities:

  • Client Interaction: Greet clients and families warmly upon arrival, ensuring a welcoming atmosphere. Address any questions or concerns promptly and professionally. Take initiative in helping parents, kids, and staff in our clinic.
  • Appointment Management: Schedule and confirm appointments for therapists. Manage the appointment calendar to optimize the utilization of therapists' time. This includes scheduling weekly therapy session and re-scheduling when patients call in. We utilize an EMR system, Fusion Web Clinic.
  • Communication: Answer phone calls and respond to emails in a timely manner. Provide information about services, appointment availability, and general inquiries.
  • Administrative Support: Assist with administrative tasks such as scanning, data entry, and maintaining client records. Ensure all client information is accurate and up-to-date.
  • Billing and Payments: Process payments, issue receipts, and handle billing inquiries. Coordinate with the billing department to ensure accurate and timely billing.
  • Office Coordination: Maintain a clean and organized front desk and waiting room area. Order office supplies and ensure that the office is stocked and well-maintained. Ability to handle multi-tasking demands of the front desk. Strong attention to detail.
  • Teamwork: Join a supportive and collaborative Patient Services team that values communication, accountability, and compassion. You'll work closely with both on-site and remote team members, as well as management, to deliver exceptional service and create a positive experience for every family we serve.
  • Confidentiality: Handle sensitive client information with the utmost confidentiality and in compliance with HIPAA regulations.

Requirements:

  • Education: High school diploma or equivalent; additional certification in office administration is a plus.
  • Experience: Previous experience in a front desk or administrative role, preferably in a healthcare or therapy setting. Experience working with children and families is highly desirable.
  • In person: this is a busy office and having someone greet in person and help families and staff is very important to us.
