Position:

The Executive Administrative & Front Office Coordinator serves as the welcoming face of CHAMPRO’s headquarters while providing high-level administrative support to the President. This dual-role position combines front desk duties—such as managing visitors and handling incoming calls—with confidential, detail-focused support for executive operations.

The ideal candidate is professional, proactive, and resourceful, with the ability to anticipate needs and ensure seamless daily operations across both the front office and executive support functions.

Key Responsibilities:

Reception & Front Desk Support

  • Greet and check in all visitors, ensuring they are registered and compliant with safety procedures
  • Manage the visitor log system and coordinate with internal staff for meetings or deliveries
  • Answer and direct incoming calls (light volume) in a professional and courteous manner
  • Maintain a clean and welcoming front desk and lobby area

Executive Administrative Support

  • Provide calendar management, scheduling, and meeting coordination for the President
  • Prepare reports, announcements, presentations, and other documents as requested
  • Make travel arrangements and manage itineraries
  • Assist with meeting prep and follow-ups (agendas, notes, materials)
  • Handle confidential information with discretion

Qualifications:

  • Professional demeanor and strong interpersonal skills
  • Highly organized with strong attention to detail and follow-through
  • Ability to manage priorities and maintain confidentiality
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Knowledge of Google products (Documents, Sheets, Slides)
  • Experience supporting executives is a plus
