JOB SUMMARY:

This position reports to the Registrar and is responsible for the credit and non-credit registration operations of Cecil College. The Assistant Director of Records and Registration provides daily supervision and guidance to the part-time staff (six to eight) and student workers regarding all registration issues. This position includes responsibility for compliance with institutional policies and procedures, and also with adherence to state and federal compliance standards. The Assistant Director of Records and Registration is expected to provide effective and timely communications, excellent (internal and external) customer service, and improvement of office procedures.

ESSENTIAL JOB FUNCTIONS:

  • Supervises the daily operations of the Records and Registration Offices to include staff scheduling, training, mentoring, and guidance for multiple sites
  • Provides direct service to students and community members who wish to register for courses or programs.
  • Assists with the maintenance of institutional compliance related to FERPA.
  • Provides assistance in compiling reports and responding to queries pertaining to institutional, state, and National Student Clearinghouse reporting.
  • Prepares student files for auditing purposes and updates information for related state reporting.
  • Coordinates and facilitates data reconciliation related to student records.
  • Facilitates technology upgrades needed to enhance and continuously improve the student registration and records system.
  • Assists with training departmental staff on all system upgrades related to records and registration in the Student Information System and the student portal.
  • Oversees the use of specific database software including Diplomas on Demand, DocStar, and Colleague.
  • Facilitates and maintains graduation applications, final audits, and the printing and delivery of diplomas.
  • Prepares graduation reports.
  • Updates and maintains accurate degree audit information in all applicable databases.
  • Processes transcript evaluations in the Student Information System in an accurate, consistent, and timely manner.
  • Assists the Registrar in the preparation of the online College Catalog.
  • Ensures that student files are in compliance with the Records and Retention Disposal Schedule.
  • Facilitates the processing of withdrawals, grade changes, program changes, and all forms related to records and registration.

  • Oversees enrollment verification for the Amazon Career Choice Program.
  • Manages daily operations of the Records and Registration Offices to include staff scheduling and training for multiple sites.
  • Acts as a college representative on external committees, as requested.
  • Participates in college committees as appropriate.
  • Handles other related duties as assigned.

MINIMUM REQUIREMENTS TO PERFORM WORK:

  • Bachelor’sdegreerequired.Master’sdegreepreferred.Courseworkinbusiness, communications, or higher education administration preferred.
  • Four years experience in a higher education setting required. Strong working knowledge of basic software applications to include word, databases, and spread sheets. Evidence of customer services experience preferred.

KNOWLEDGE, SKILLS AND ABILITIES:

  • Professional experiences should reflect progressively more responsible authority for the management of tasks, projects and special assignments. Preferred experiences will include office management within a student services function in a community college system.
  • A strong working knowledge of integrated student information software is required (i.e. Jenzabar, SCT Banner, Datatel).

SCHEDULING REQUIREMENTS:

Varied work schedule during critical periods, sometimes requiring evening, Saturday, and Sunday work hours, dependent on the needs of special events. Due to the need of interaction with students, employees, and the college community, this position requires in-person presence. This position is eligible for telework.

PHYSICAL DEMANDS:

This position classifies the physical exertion requirements as sedentary work involving lifting no more than 10 pounds at a time and occasionally lifting or carrying articles like docket files, ledgers, and small tools. Although a sedentary job is defined as one which involves sitting, a certain amount of walking and standing is often necessary in carrying out job duties. Jobs are sedentary if walking and standing are required occasionally, and other sedentary criteria are met.

WORK ENVIRONMENT:

Work environment involves everyday risks or discomforts which require normal safety precautions typical of such places as office or meeting and training rooms, e.g., use of safe work place practices with office equipment, avoidance of trips and falls, and observance of fire and building safety regulations, and traffic signals when driving. Periodic travel between college locations and State meetings.

Salary: This is an exempt position (not overtime eligible); Grade 117 (pay scale:$64,093-103,029). Based on the budget, the salary for the position will be $72,000-$74,000. Applicants' initial salary placement is based on internal equity and relevant candidate experience.
