Founded in 1968 to meet the post-secondary and continuing education needs of Cecil County residents, Cecil College has been serving the community and shaping its future for more than 50 years. JOB SUMMARY:

  • Provides administrative assistance to the Health Care Careers and Academic Programs.
  • Support program with data collection and management related to Cecil College.
  • Provides administrative support for students in the admission process.
  • Assist with financial administrative management in coordination with the Assistant Director of Health Care Programs.
  • Provide clerical support to the Health Care Careers Programs area of Academic Programs.
  • Manages the office department activities related to the Health Care Careers area.
  • Assists with the maintenance of files related to faculty and students in the Health Care Careers area.
  • Assists with planning and provides support for events hosted by the Health Care Careers area.

ESSENTIAL JOB FUNCTIONS:

  • Collects and collates data to maintain a current and historical record of all program activities.
  • Manage calendars, schedule meetings, and coordinate events, including academic sessions and departmental activities
  • Assures accuracy of information shared with advising, admissions, marketing, and student services about the Health Care Career programs.
  • Collects and maintains accurate records and documentation for both academic programs, faculty and student – related activities faculty records including but not limited to professional license, CPR, and continuing education information for accreditation and legal purposes.
  • Assist students with program inquiries, admissions and registration processes. Maintains a Health Care Careers student database, develops the digital application, collects and processes data related to prospective students, and creates and modifies admissions documents.
  • Schedule appointments with prospective students in person or virtually and advise students on course schedules, prerequisites, and program information and requirements.
  • Provides support to students in obtaining information related to health care certifications, internships, and job placement.
  • Serves as a point of contact between faculty, staff, students, and external partners such as clinical agencies, health care providers, and accrediting bodies.
  • Prepares and sends out communication to students, faculty, and stakeholders regarding program updates, deadlines, and policy changes.
  • Maintain inventory of office supplies, equipment and educational material for the Health Care Careers program
  • Order and organize textbooks, instructional resources, and other materials needed for academic courses and workshops.
  • Assist with ensuring the health care programs meet accreditation and regulatory standards.
  • Help track and maintain necessary documentation for audits, assessment and other compliance – related process for accreditation and reaccreditation
  • Assist with managing the department’s budget by tracking expenditures and processing invoices
  • Serves as the point of contact, coordinating funding request, scholarships, or grants. Additionally, coordinates with the testing center, and ensures students have the most current information regarding testing options.
  • Takes and maintains minutes electronically related to all Health Care Careers departments and Advisory Board meetings.
  • Monitors, maintains, and updates Health Care Careers department’s student records related to contact information, academic records/files, and alumni lists electronically.
  • Performs additional tasks or projects as needed to support the goals of the department and college.
  • Other duties as assigned.
  • Adheres to all College policies and procedures.

MINIMUM REQUIREMENTS TO PERFORM WORK:

  • Minimum Associate degree
  • Two (2) years of work experience in a related field. Knowledge of/experience in the healthcare field preferred

KNOWLEDGE, SKILLS AND ABILITIES:

  • Must have excellent written, oral, and interpersonal communication skills.
  • Proficiencies Microsoft Office Suite

SCHEDULING REQUIREMENTS:

Schedule may vary according to program needs, including evenings and weekends.

PHYSICAL DEMANDS:

This position classifies the physical exertion requirements as sedentary work involving lifting no more than 10 pounds at a time and occasionally lifting or carrying articles like docket files, ledgers, and small tools. Although a sedentary job is defined as one which involves sitting, a certain amount of walking and standing is often necessary in carrying out job duties. Jobs are sedentary if walking and standing are required occasionally, and other sedentary criteria are met.

WORK ENVIRONMENT:

Work environment involves everyday risks or discomforts which require normal safety precautions typical of such places as office or meeting and training rooms, e.g., use of safe work place practices with office equipment, avoidance of trips and falls, and observance of fire and building safety regulations, and traffic signals when driving.

Salary: This is an non-exempt position (overtime eligible); Grade 109 (pay scale:$20.72-$33.15). Based on the budget, the salary for the position will be $25.64. Applicants' initial salary placement is based on internal equity and relevant candidate experience
