Summary:

Casaplex is looking for a rockstar Office Manager/Administrator who can assist the executive team in cultivating the culture of the company and be the CEO’s right hand. The Office Manager/Administrator is responsible for many facets of the business and is an extension of the Executive Office. The ideal candidate is assertive, highly detail-oriented, motivated self-starter, organized with excellent leadership and communication skills; has a passion for excellence and values education, integrity, innovation and success.


Responsibilities Include:

  1. Strategic Support: Build and maintain positive relationships with key internal and external contacts, including clients, vendors, and partners. Provide high-level administrative support to executives, ensuring efficient operations and clear communication.
  2. Operational Excellence: Manage the day-to-day operations of the office, including scheduling meetings, maintaining calendars, and overseeing administrative workflows.
  3. Communication Hub: Streamline internal communication by filtering and prioritizing messages, managing tasks and deadlines, and keeping all staff informed. Draft clear and concise internal and external communications as needed.
  4. Project Management: Coordinate and oversee administrative projects, ensuring timely and successful completion.
  5. Travel Management: Arrange and manage travel itineraries, logistics, and expense reports for staff (depending on the role).
  6. Facility Management: Oversee office supplies and equipment, ensuring a well-maintained and organized work environment (depending on the role).

Requirements

  • A minimum three years of office management/administrative experience.

  • Self-starter with a high degree of energy and careful attention to detail. Strong sense of initiative and a process-improvement mindset.

  • Highly flexible, creative problem solver, with a strong ability to multitask.

  • Excellent oral and written communication skills.

  • Strong interpersonal skills.

  • Execute and exhibit good judgment. High level of professionalism.

  • Superb organizational and time-management skills.

  • Excellent computer skills; proficient in Google Workspace preferred.

  • A demonstrated ability to plan effectively, but the flexibility to handle the unexpected.

  • High tolerance for ambiguity, changing work priorities and deadlines, and a willingness to take on responsibilities and to prioritize own work on multiple projects.
