Visitor Services Specialist

Parks, Cultural and Natural Resources | Caldwell, ID | Full Time | From $18.00 to $21.42 per hour

Job Summary

The Visitor Services Specialist duties include a variety of administrative support functions for the Parks, Cultural and Natural Resources department and Celebration Park Visitor Center. This position works closely with the Programs Manager in scheduling, communicating and coordinating the educational programs for schools and visitors.

Key Responsibilities

Administrative Support

  • Answers incoming phone calls, manages mail, and responds to emails, provides general information to the public by answering questions, and responding to inquiries regarding specific information about parks and ordinances
  • Provides administrative support services to staff members, including but not limited to, taking messages, setting appointments, providing information, processing and preparing documents and correspondence, preparing and tracking visitor bookings, and website updates
  • Archives and organizes department documents and materials
  • Creates, prepares, edits, distributes, and maintains a variety of documents, including flyers, brochures, pamphlets, interpretive signage, informational signage, advertisements, and quarterly magazine
  • Writes, updates, and maintains internal documents, forms, policies, procedures, manuals, reports, correspondence, and log sheets
  • Attends public meetings and maintains notes when required; prepares packets for meetings, events, and hearings
  • Coordinates with and assists the Programs Manager with the creation and development of educational programs, events, virtual learning, and public presentations


Staff & Vendor Management

  • Assists with supervising, scheduling, and assigning work to seasonal, part-time, temporary, and volunteer employees and explains requirements, methods, and procedures, as needed, in coordination with the Programs Manager
  • Assists in the hiring, selection process, and training of seasonal, part-time, temporary, and volunteer employees
  • Manages vendors, special use, and public event requests
  • Administers the planning, scheduling, and daily operation of educational programs in coordination with the Programs Manager

Fiscal

  • Assists with writing, researching, administering, and managing state and federal grant applications, including budgets, reporting, tracking expenditures, and final grant closeouts
  • Processes departmental purchase orders and invoices and submits claims to auditing for payment
  • Assists with the preparation of the annual budget and monitors fiscal activity to ensure conformity within established parameters
  • Processes and receives payments and user fees, balances cash, deposits, reviews billings, records account information, and tracks changes
  • Inventories and orders office supplies


Other Duties

  • Responsible for knowing, understanding, and executing educational program content
  • Assists with plans on development of public spaces
  • Performs all work duties and activities following county policies, procedures, and safety practices
  • All other duties as assigned

Qualifications

Skills and Abilities

  • Perform multiple tasks simultaneously, including handling interruptions, and return to and complete tasks in a timely manner
  • Operation of standard office equipment, including a personal computer
  • Ability to follow oral and written instructions
  • Current office and bookkeeping practices and procedures
  • Work cooperatively and constructively with fellow workers and members of the public to provide public service of the highest quality
  • Evaluate and analyze public needs to provide exceptional visitor customer service
  • Supervise, train, and evaluate employees
  • Effectively exercise considerable creativity in developing aesthetically pleasing, accurate, informative, and engaging documents for both internal use and public distribution
  • Learn department functions thoroughly to provide general information and explain detailed department processes and procedures

Special Qualifications

  • Must successfully complete a background investigation
  • Valid driver’s license
  • Available to work in more than one departmental office location as needed, including the Lake Lowell Office and Celebration Park

Education and Experience

  • Bachelor’s degree in English, Communication, Public Relations, Outdoor Education, or a related field preferred
  • Two years clerical experience, preferably in a customer service position
  • Additional relevant education and experience required for the position

Essential Physical Abilities
