Sr. Administrative Specialist

Job Summary
This is a clerical, administrative, and support position primarily focused on performing diverse office tasks to assist the Weed and Pest Department. Duties include preparing letters and documents, entering data into county or department systems, maintaining budget records, logs, and ledgers, and adhering to department-specific protocols. The work is performed under the supervision of the Office Manager and involves work both in a general office environment and outdoors.
Key Responsibilities
- Customer Service and Communication
- Answers incoming phone calls and greets walk-in customers
- Refers customers to appropriate staff members and provides information about Department policies and procedures
- Determines customers’ needs through interviewing and communication exchange
- Administrative and Clerical Support
- Provides support services to staff members, including taking messages, setting appointments, providing information
- Prepares, distributes, and maintains a variety of documents, correspondence, log sheets, applications, records, reports, and related documents
- Composes routine correspondence
- Maintains files, logs, and other records
- Completes special records management assignments
- Provides data entry services, faxing, typing, and filing in support of department functions
- Processes and distributes department mail
- Financial and Billing Responsibilities
- Processes and receives payments, balances cash, and reviews billings
- Processes billing for field inspections
- Specialized Departmental Support
- Tracks hay inspections, including posting requirements
- Conducts inventory and tracks weed control chemicals and supplies
- Supports Geographic Information Systems (GIS) requirements of the department, including research
- Investigates and collects information to regulate Idaho Pest Control Bounty Program
- Assists Canyon County Code Enforcement
- Other Duties
- Performs all work duties and activities following County policies, procedures, and safety practices
- All other duties as assigned
Qualifications
Skills and Abilities
- Proficient in using computers, job-specific software, and standard office equipment
- Knowledge of general office procedures, customer service principles, and communication techniques
- Strong command of English grammar, spelling, and composition for clear communication
- Familiarity with basic bookkeeping, accounting principles, GIS terminology, and research methods
- Skilled in record-keeping, filing, and preparing detailed reports
- Provide exceptional customer service by assessing and addressing needs effectively
- Learn and explain complex departmental processes, laws, and regulatory compliance issues
- Maintain accurate records, manage multiple tasks efficiently, and meet tight deadlines
- Handle customer inquiries professionally, including challenging or adversarial situations
- Research data, prepare reports, and apply logical problem-solving methods
- Operate computers and software relevant to tasks and communicate effectively both verbally and in writing
- Collaborate with colleagues, supervisors, public officials, and the community to achieve goals
Special Qualifications
- Valid driver's license
- Ability to become Public Notary
- Must successfully complete a background investigation
Education and Experience
- High school diploma or GED equivalency is required
- Three to five years of general clerical experience, preferably in a customer service position required
- Equivalent combination of experience and training may be considered
