Sr. Administrative Specialist
Solid Waste/Landfill | Caldwell, ID | Full Time | From $21.54 to $26.02 per hour

Job Summary
The primary responsibilities of a Sr. Administrative Specialist include performing varied office work to support the functions of the Solid Waste Department. Duties are varied and may include typing and preparing letters or documents using various software applications, entering data into county or department systems and applications, keeping budget records, logs, ledgers, etc., and working within department-specific processes and procedures.
Key Responsibilities
Administrative Support
- Maintain and update employee monthly shift calendars
- Provide support services to staff members, including but not limited to distributing mail, taking messages, setting appointments, providing information, preparing and tracking mailings and legal notifications
- Manage office supplies inventory by monitoring stock levels, placing orders, and verifying
- Initiate service requests for needs affecting the entire department with Maintenance, IT, or outside vendors
- Process and receive payments, balance cash, review billings, record account information, and track changes
- Run errands, pick up and deliver papers or material
Customer Service
- Answer incoming phone calls and greet walk-in customers
- Refer customers to appropriate staff members
- Provide information about department policies and procedures and referrals to other departments or staff
Correspondence and Documentation
- Prepare, distribute, and maintain a variety of documents, correspondence, log sheets, applications, records, reports, and related documents; maintain files
- Complete special records management assignments
Other Duties
- Assist with special projects
- Fill in at the scale house as needed
- Perform all work duties and activities following County policies, procedures, and safety practices
- Perform other duties as assigned
Qualifications
Skills and Abilities:
- Proficient with standard office equipment and specialized solid waste accounting software
- Proficient in accounting, cash handling, bookkeeping and recordkeeping
- English grammar, spelling and punctuation
- Communicate clearly and effectively both, verbally and in writing
- Knowledge of federal, state, and county laws and regulations pertaining to landfill operation
- Develop and communicate policies and job procedures
- Ability to maintain confidentiality
- Maintain detailed financial and maintenance records
- Build and maintain effective working relationships with supervisors, county staff, vendors, and the public
- Learn county functions thoroughly to provide accurate information and explain services, policies, and procedures
- Respond courteously to inquiries, even in challenging situations
- Manage multiple tasks, handle interruptions, and meet deadlines
Special Qualifications
- Successfully complete background investigation
- Idaho driver’s license
Education and Experience
- High school diploma or GED equivalency required
- Three plus years of general clerical experience, preferably in a customer service position required
- An equivalent combination of experience and training may be considered
Essential Physical Abilities
- Clear speech and hearing ability, with or without an accommodation, to follow verbal instructions and communicate effectively by phone and in person
- Visual acuity, with or without an accommodation, to read instructions, review and organize documents
- Requires sufficient personal mobility and physical reflexes, which permits the employee to function in a general office environment to accomplish tasks
- Must be able to lift to 50 pounds
