The Opportunity
Love keeping a lot of moving pieces on track and seeing a project through from first idea to finished result? We’re launching a new Marketing Center of Excellence (CoE), and we’re looking for a Marketing Project Coordinator to be the person who makes it run.
You’ll own our marketing projects from intake to in-market, keeping timelines, approvals, and budgets on track across our business units and agency partners. You’ll also own our tradeshow and event presence, our marketing materials and branded merchandise, and the logistics behind our humanitarian program, which brings life-changing care to underserved women around the world. It’s a high-visibility role with variety every day and a chance to help build something new.
Duties and Responsibilities:
- Own the marketing project list end to end: build timelines, track dependencies across business units and agency partners, and flag risks early.
- Run project intake, status tracking, and a rolling 12-month marketing calendar in our project-management tool.
- Lead regular business unit meetings, including agendas, action items, and follow-up.
- Route materials through marketing, legal, and regulatory review, and maintain the library of approved assets.
- Manage POs, invoices, and monthly marketing spend tracking against budget.
- Own logistics for medical congresses, physician education events, and hands-on surgical training labs, including registration, housing, shipping, and booth setup.
- Manage booth properties, displays, printed literature, and promotional inventory, and fulfill sales rep requests.
- Coordinate humanitarian program shipments and paperwork with physicians and partners.
- Run our branded merchandise program, including an online company store for employees and sales reps.
- Load and tag event leads in Salesforce and support monthly marketing reporting.
Objectives and Measurable Performance Accountabilities:
• Project delivery: keep every marketing project moving from idea to launch on schedule, with clear owners, timelines, and approvals across teams and agency partners.
• Event readiness: deliver a polished, show-ready brand presence at every congress and physician event, on time and on budget.
• Materials, branded merchandise & humanitarian program: keep our marketing materials current, on-brand, and quickly in the hands of our sales team; build and launch our company merchandise store; and help get life-changing care to underserved women through our humanitarian program.
• Spend control & lead capture: keep marketing spend organized and on budget, and turn every event into tracked, actionable leads for our sales team.
Required Knowledge, Skills and Abilities:
- Bachelor’s degree in marketing, communications, or business, or equivalent experience.
- 2–4 years of experience in project coordination, events, or tradeshow logistics; marketing, medical device, or other regulated industry experience preferred but not required.
- Experience managing multiple simultaneous projects with external agencies or vendors.
- Strong Excel and MS Office skills; experience with a project-management tool (ClickUp, Asana, Monday, or similar); Salesforce/CRM exposure.
- Highly organized, with strong follow-through and clear, concise written communication.
- Ability to travel up to 25% to support events, lift booth materials up to 50 lbs, and work on-site at shows, including setup and teardown.
- PM certification (CAPM or similar) is a plus.
Don’t meet every requirement? If you’re a strong organizer with event or project coordination experience, we encourage you to apply.
Why This Role Matters
Our new Marketing CoE is how Caldera’s brands show up to surgeons, sales teams, and patients around the world. You’ll be the one making sure every project lands on time, every booth is ready, and every shipment reaches the women who need it.
