Bleacher Report is looking for an Executive Administrative Assistant who will provide support to a high-level executive. This position will autonomously perform complex administrative support for the Chief Revenue Officer/Chief Marketing Officer. He/She must show initiative in assisting the CRO/CMO in all areas of daily business including calendar management, travel, screening calls and visitors, and handling expense reports. The Executive Administrative Assistant will be responsible for making independent decisions regarding planning, organizing and scheduling of work.  Interested candidates should strive to be an extension of the CRO/CMO and therefore demonstrate at all times: excellent written and interpersonal communication skills, friendly and efficient personality, exemplary phone manner, and the ability to anticipate whenever possible.

Responsibilities:  

Scheduling & Planning:

  • Coordinate scheduling and maintaining executive’s calendar to optimize hours of day.

  • Work to understand business to readily determine whether or not to accept a meeting request, or to know to request more information regarding the meeting request.

  • Request contact information of meeting attendees for the executive to be prepared for future communication.

  • Provide executive with detailed directions to meeting location.

  • If necessary coordinate travel for clients traveling with the executive.

  • Answer executive’s phone and obtain information from caller for executive to readily understand purpose of call and prioritize returning the call.

  • Schedule executive’s heavy travel schedule to maximize time. If necessary coordinate travel with other employees to reduce expense to company. Work to be cost effective with expenses associated with travel and meetings.

  • Manage executive’s e-mail inbox by dealing with attachments for future reference and print out e-mails that require the executive’s review/action.

  • Organize and maintain executive’s files and records.  

  • Assist with bi-annual off-site event planning (booking conference rooms, group reservations, and other logistics)

Collaboration:

  • Build strong interpersonal relationships with client counterparts, a key component to gaining access to executives.

  • Work closely with executive’s direct reports (as well as their reports) to help them prioritize joint meetings, travel, access to core information and plans.

  • Utilize relationship building skills to make key activities and requests happen.

  • Developing and maintaining network/relationship with assistants of network general managers.

  • Work in close coordination with larger office administrative team.

Expense Management:

  • Manage executive's T&E account to ensure expense reports are submitted timely and accurately.

  • Preview CONCUR reports of executive’s direct reports to verify appropriate account allocation and to conform to company policy before the executive reviews the reports. Handle all expense reports for Executives in CONCUR.

  • Process invoices through Ariba.

Additional:

  • Coordinating executive’s participation with industry association events as a panelist and/or director.

  • Purchasing and/or coordinating of executive’s hardware (cell phone, laptop, printer, etc.)

  • Coordinating executives’ participation with boards, on behalf of company and outside of company.

  • Maintain sport teams tickets for division to provide to clients as needed.

 

What do we require from you?

  • Bachelors’ degree

  • Minimum 5-7 years proven administrative experience supporting at the executive level

  • Experience coordinating varied executive travel arrangements

  • Proficiency with utilizing MS Office and Google suite (Gmail, Google calendar)

  • Strong interpersonal skills

  • Ability to work on multiple projects simultaneously and prioritize

  • Expense management and budget accountability experience preferred

  • Great attention to detail and proactivity

  • Strong communication and organization skills
