Job Summary
The Executive Assistant provides administrative and project support to VP, Merchandise and VP, Pandora (owned and operated by Ben Bridge). This position works independently, prioritizes tasks, demonstrates initiative, and exercises sound judgment. This position requires an ability to take direction from more than one executive and works in collaboration with the Executive Assistant team.

Primary Responsibilities
  • Manage administrative responsibilities with enthusiasm and accuracy, including, but not limited to, processing expense reports and invoices, responding to caller questions and making travel arrangements.
  • Maintain calendars, establish appointments, agendas and meeting logistics for meetings and trainings; follow up on meeting deliverables as appropriate
  • Create presentations and visuals using PowerPoint for meetings and trainings
  • Compose correspondence for internal and external communications including stores, vendors and management team
  • Create and maintain spreadsheets to track sales data; prepare monthly reports using Excel
  • Administration of CRM Salesfloor account; create reports, update users’ access and apply product updates
  • Support semi-annual compliance audit, supplies necessary reports for audit, and track audit updates. After receiving audit findings plan and implement action items.
  • Collaborate with executive assistant team to plan events and complete projects
Minimum Required Qualifications
  • Minimum 5 years of experience, including administrative and/or customer service
  • Bachelor’s degree is a plus
  • Highly proficient in Microsoft Office (Outlook, Word, PowerPoint, Visio, and Excel
  • Possesses an analytical focus to synthesize data utilizing tools such as VLookup and Pivot Tables in Excel
  • Ability to effectively build relationships with peers and leadership. Extraordinary customer orientation.
  • Clear and effective written and verbal communication with internal and external contacts
  • Work efficiently under time constraints in a fast-paced environment and able to handle multiple tasks
  • Demonstrated experience independently problem-solving to quickly resolve issues
  • Able to flex schedule and routine to accommodate business needs
  • Prefer experience with Concur, CRM and ERP systems
  • Retail industry experience not required but it is a plus
