About Us:

Banks Sadler is a global meetings and event management agency with an enviable client list of some of the world’s leading brands.

The Bill Back Operations Assistant is responsible for sourcing accurate, timely purchase invoices from Banks Sadler’s suppliers and gaining approval for payment of these invoices from our clients. The position also requires the ability to follow multiple client processes and to act as part of an important team in our business.

The role therefore requires excellent communication skills for dealing with clients and suppliers as well as first class numeracy skills and attention to detail. 

Responsibilities include:

  • Review of all events and bookings undertaken on a client by client basis
  • Obtaining invoices from suppliers to meet all bookings
  • Review of inbound invoices
  • Liaising with the client after the event to ensure they are satisfied with the charges made
  • Dealing with any invoice related problems
  • Handling deposit payments
  • Producing weekly compiled invoices to be sent to the client
  • Ensuring all invoices are processed for payment within the payment terms agreed
  • Manage the Up-lift process where necessary
  • Monitoring the receipt of purchase orders
  • Client liaison
  • Supplier liaison
  • Maintaining up to date records on all working files
  • Maintaining a good filing system
  • Obtaining copies of public liability certificates from hotels to the value of £5 million

  • Good keyboard and computer skills (Word, basic Excel and Outlook)
  • Good communication skills, written and verbal
  • Excellent Numeracy and accuracy
  • French speaking - business level
