A leading electronics testing company is seeking a Staffing Coordinator - Interview Scheduler to support the Talent Acquisition team by managing interview logistics, coordinating candidate interactions, and ensuring a seamless recruiting experience. This role serves as a critical liaison between recruiters, hiring managers, and candidates, requiring exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Staffing Coordinator - Interview Scheduler Responsibilities:

  • Coordinate and schedule phone screens, virtual interviews, onsite interviews, and complex panel interviews across multiple time zones while ensuring an exceptional candidate experience.
  • Partner closely with recruiters, hiring managers, interviewers, and candidates to align schedules, confirm logistics, and resolve scheduling conflicts efficiently.
  • Manage interview calendars, meeting invitations, confirmations, reminders, and last-minute schedule adjustments while maintaining accuracy and responsiveness.
  • Deliver professional, timely, and candidate-focused communication throughout the recruiting process to support a best-in-class hiring experience.
  • Maintain accurate candidate, interview, and scheduling data within the applicant tracking system (iCIMS) and support recruiting activity tracking and reporting.
  • Utilize AI-enabled tools such as Microsoft Copilot and similar technologies to streamline scheduling workflows, improve communications, and identify process improvement opportunities.
  • Support recruiting operations by preparing interview logistics, coordinating onsite interview activities, and escorting candidates to interview locations as needed.
  • Assist with recruiting administration, operational reporting, documentation, and special talent acquisition projects.

Staffing Coordinator - Interview Scheduler Qualifications:

  • 1+ years of experience in recruiting coordination, interview scheduling, human resources support, administrative coordination, or a related role.
  • Experience scheduling interviews across multiple time zones and managing complex calendar logistics.
  • Strong organizational skills with the ability to manage competing priorities in a fast-paced environment.
  • Excellent written and verbal communication skills with a strong customer service orientation.
  • High attention to detail and the ability to maintain accuracy while handling large volumes of scheduling activity.
  • Experience working with applicant tracking systems (ATS), preferably iCIMS.
  • Proficiency with Microsoft Outlook, calendar management tools, and standard business software applications.
  • Familiarity with AI tools such as Microsoft Copilot or similar technologies used to improve workflow efficiency and productivity.
  • Ability to build strong working relationships with recruiters, hiring managers, candidates, and cross-functional stakeholders.
  • Demonstrated ability to handle confidential information with professionalism and discretion.
