A leading medical institution is seeking a Project Coordinator. The successful candidate will assist department leaders in developing, facilitating, and implementing various projects for department-specific initiatives, and partner with subject matter and process owners to design, implement, and communicate all factions of a project while ensuring all requirements and/or objectives are documented. The ideal candidate has experience supporting department leadership, handling project tracking, preparing reports and budgets, managing contracts, and developing policies and procedures.

Project Coordinator Pay and Benefits:

  • Hourly pay: $35/hr
  • Worksite: Leading medical institution (Oakland, CA 2782857 - Hybrid)

  • 40 hours/week, 3 Month Assignment

Project Coordinator Responsibilities:

  • Manage Department Head’s complex calendar.
  • Provide project support to the Department Manager, prioritizing the department projects and goals.
  • Be a key participant in high-level confidential projects.
  • Prepare annual budget and annual reports of the department for final review by the Department Head.
  • Independently prepare and maintain project plans and charters for various department initiatives.
  • Produce status reports and prepare presentation materials for the Department Head.
  • Track project progress deliverables and documentation, coordinate efforts across workstreams, track, escalate, and resolve issues, risks, and resource constraints.
  • Manage the contract process for the department.
  • Assist policy owners in the development and advance of policies through the approval process.
  • Develop and advance the standard operating Procedures for all functions in the department.
  • Maintain confidentiality in all matters related to hospital business and ongoing concerns of the Department Head.
  • Document outcomes from meetings and follow up to ensure the action plan is completed.
  • Be a key participant in process improvement for the department.

Project Coordinator Qualifications:

  • Experience in project management, 5 years is preferred.
  • Bachelor’s Degree.
  • Experience with HR Information Systems is preferred.
  • Strong organizational skills, and change experience involving significant changes in processes and technology.
  • Familiarity with business processes and systems.
  • Microsoft Office suite (Word, Excel, PowerPoint).
  • Excellent written and verbal communication skills.
  • Ability to work well with all levels within the organization.
  • Ability to effectively manage shifting priorities.
  • Effective problem-solving skills.
  • Able to work with little direction while handling different
  • Able to identify alternative solutions to a problem and to select the best option
  • Strong organizational skills, with a focus on high priorities despite interruptions.
  • Ability to manage work-streams across functional groups.
  • Ability to maintain a high level of confidentiality and professionalism.

Shift:

  • Monday to Friday from 08:30 to 05:00 pm.
