A leading university is seeking a Program Coordinator to join the Artificial Intelligence and Data Science Institute. The successful candidate will manage day-to-day program operations across a dynamic, fast-paced portfolio of events, meetings, and programs that support scholars, fellows, and students coordinating logistics, communications, and administrative support.

Program Coordinator Responsibilities:

  • Program & Event:
    • Coordinate logistics for weekly seminars, workshops and special events including scheduling, space reservations, onboarding, catering, calendar invitations, virtual meeting setup, and on-site logistics.
    • Compose and draft documents and correspondence for presentations, course handouts, grants, conferences, seminars, and reports; perform substantial research editing and fact checking.
  • Finance & Purchasing:
    • Manage purchasing cards, purchase orders, travel reimbursements, and track these across multiple programs/events
  • Operations:
    • Oversee office supplies, shared space, and day-to-day operational needs.
    • Manage calendars and travel for leadership, and support internal data management and tracking projects.

Program Coordinator Qualifications:

  • 6 years of administrative experience.
  • Advanced computer skills and demonstrated experience with office software and email applications.
  • Proven success in following through and completing projects.
  • Ability to prioritize, multitask, and assign work to others.
  • Ability to take initiative and ownership of projects.
  • Ability to routinely and independently exercise sound judgment in making decisions.
  • Able to interact with a range of audiences (students, peers, external partners, and executive leadership).
  • Experience or desire to work in a highly visible, often fast-paced, unit on campus.
  • Educational program coordinator experience.

Shift:

  • 8 am-5 pm.
