A leading professional networking company seeks a creative, enthusiastic, and experienced Payroll Specialist to join the Global Payroll and Employment Tax team. The successful candidate will provide exceptional support to our employees and business groups, and deliver a complete and accurate flow of data to internal and external stakeholders to ensure that all compensation, deduction, and taxation details are understood. Payroll Specialist Pay and Benefits:

  • Hourly pay: $30-$45/hr (Pay varies based on the candidate's experience and location)

Payroll Specialist Responsibilities:

  • Payroll Processing and Administration:
    • Responsible for the accurate preparation and processing of bi-weekly payroll for both U.S. and Canadian employees. This includes handling new hire and termination processing, leave of absence payments, retroactive payments, commissions, and one-time non-recurring payments such as bonuses, perk-up payments, patent awards, and non-cash awards.
    • Manage the processing of taxable benefits, including gifts and transit commuter programs, and oversee stock-based compensation transactions such as ESPP Disqualified Dispositions, RSUs, Non-Quals, and ISOs. Support quarterly ESPP stock purchase and enrollment activities.
    • Audit and post 401(k) contributions and demographic files to Fidelity on a bi-weekly basis. Oversee multi-state payroll processing for over 11,000 employees, ensuring adherence to established deadlines. Handle the calculation and reconciliation of termination payments in accordance with state-specific regulations.
    • Ensure employee information is accurately maintained and updated in the payroll system through Workday integration, and coordinate with appropriate teams to resolve any discrepancies. Maintain a strong focus on compliance by ensuring all transactions align with internal policies and corporate procedures. Additionally, ensure accurate payroll taxation for both employer- and employee-paid benefits.
  • Reporting and Documentation
    • Responsible for developing and writing ad hoc reports to meet internal and external agency requirements.
    • Prepare and maintain both standard and customized reports and queries to support payroll operations and compliance needs.
    • Additionally, review and update payroll knowledge articles regularly to ensure the accuracy and accessibility of information.
  • Process Improvement and Efficiency
    • Actively support the identification and implementation of process improvements to streamline day-to-day payroll activities.
    • Work closely with the manager to enhance overall efficiency in payroll operations. Take ownership of special projects and additional tasks as needed, contributing to continuous improvement initiatives.
  • Collaboration and Support
    • Liaise with ADP, Talent Services, and Payroll Operations teams to identify open cases and ensure timely resolution.
    • Provide research, analysis, and reconciliation for payroll-related queries or unexpected results, and recommend practical, effective solutions.

Payroll Specialist Qualifications:

  • 5+ years of multi-state payroll experience.
  • FPC or CPP certification is a plus.
  • Extensive knowledge of US and Canada labor laws and regulations.
  • Experience with international and expatriate payrolls, as well as equity compensation, is highly valued.
  • Professionalism and the ability to communicate with sensitivity are essential qualities for success in this role.
  • Driven, task-oriented, and capable of independently managing projects while remaining flexible and collaborative within a team environment.
  • The ability to work with minimal supervision, handle multiple priorities, and adapt to shifting demands is crucial.
  • A high level of attention to detail is required.
  • Proficiency in Microsoft Excel, including advanced functions such as VLOOKUPs, Pivot Tables, and IF statements.
  • Expert-level knowledge of the full Microsoft Office suite (Outlook, Word, PowerPoint, and Excel) is necessary, along with experience using ADP Global (SAP-based system), ADP Smart Compliance, Workday, ServiceNow, Pro-Business, R&R, Report Writer, and various payroll software systems.
  • A solid understanding of payroll and tax withholding compliance requirements.
  • Strong communication, organizational, analytical, and customer service skills.
  • Able to maintain confidentiality and exercise discretion at all times, demonstrating a high degree of accuracy and urgency in their work.
